Reports to: Senior Community Association Manager

Job Description:

We are seeking a highly organized and proactive Administrative Assistant to support the daily operations of a busy HOA management office. This role will provide direct support to the Community Association Manager and assist with resident communications meeting coordination document preparation and general office functions. The ideal candidate will be detail-oriented professional and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Prepare and distribute Board meeting agendas minutes and violation notices

  • Maintain accurate digital and physical filing systems for each community

  • Answer phone calls and emails from homeowners vendors and Board members

  • Assist with processing ARC (Architectural Review) applications

  • Coordinate community notices e-blasts and announcements

  • Schedule inspections maintenance and vendor appointments as directed

  • Support management with special projects audits and reporting

  • Track and update homeowner compliance and violations in the system

  • Provide administrative assistance during Board meetings (including virtual meetings via Zoom)

Skills Required:

  • Excellent written and verbal communication skills

  • Strong organizational and time management abilities

  • Proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint)

  • Familiarity with HOA operations and Florida Statute Chapter 720 (preferred)

  • Knowledge of property management software (e.g. Vantaca TOPS AppFolio) is a plus

  • Ability to handle confidential information with professionalism

  • Bilingual (English/Spanish) preferred but not required

  • Comfortable working with residents vendors and Board members in a professional manner

  • Experience preparing official documents such as notices meeting agendas and letters

  • Ability to multi-task and meet deadlines under pressure

Work Environment:

  • In-office position located in Wesley Chapel FL

  • Standard business hours with occasional evening meetings (virtual or in-person)

  • Collaborative team environment with focus on professionalism and efficiency
