ABOUT THE POSITION
As part of the Operations and Volunteers team the Group Experience Coordinator works to enable the smooth and efficient operations of the Ryan Learning Center with a focus on executing the operational logistics around K-12 school groups and summer youth group visits to the museum. The Coordinator is responsible for the implementation of the daily plan for group entry working closely with staff and volunteers to ensure that students are warmly welcomed and that groups logistical needs are met during the course of their visit. They bring problem-solving skills detail-orientation and a talent for making all the pieces work together to a role that positions the Ryan Learning Center to be a welcoming and inclusive place for people of all abilities.
The Group Experience Coordinator collaborates with colleagues within the Ryan Learning Center as well as Facilities Security and Visitor Engagement teams to ensure seamless operations and service. This individual is the day-of point person for staff educators and volunteers supporting K-12 Student Experiences.
This position holds a 8:30-4:30 pm Monday Thursday and Friday work week and is fully onsite; remote or hybrid work is not possible. May occasionally be asked to shift weekly schedule. Performs other duties as assigned.

KEY RESPONSIBILITIES
Administrative coordination: Acts as floor captain for the RLC Student Entrance on Monday Thursday and Friday assisting Operations staff in the implementation of the daily plan-of-action for student group entry. This includes: maintaining active presence in the student entrance space throughout the day; serving as point of contact for visiting groups security staff and volunteers assigned to this area; welcoming and orienting large groups of students; capturing school data for reporting; coordinating volunteers and staff in the execution of the daily plan; ensuring studio and classroom spaces are clean organized and have the correct furniture layout for the days schedule; and completing end-of-day procedures once all groups have departed.
Internal and External Communications: Works with internal departments such as Facilities and Security to monitor the safety and cleanliness of spaces; provides support to Operations staff to ensure completion of work requests for space and equipment moves; provides communication support for teacher inquiries and group scheduling as needed.
Volunteer Coordination: With Operations colleagues serves as point of contact for volunteers when they are actively involved in greeting school groups; provides direction in the execution of the daily plan-of-action; contributes to training and coaching volunteers.
Supply and Space Coordination: Replenishes supplies for student group entrance including chaperone badges Family Passes and educator resources; coordinates poster fulfillment and assists with inventory and storage.
QUALIFICATIONS
High School Diploma or GED required. Bachelors degree strongly preferred.
Minimum 2 years of experience working with K-12 audience and/or visitor engagement in museums or informal education settings.
Excellent interpersonal verbal and written communication skills including ability to communicate with audiences of different backgrounds levels of knowledge and types of ability.
Spanish-language fluency is strongly preferred.
Strong verbal communication and writing skills; ability to adjust communication styles to accommodate audiences of diverse backgrounds and abilities
Experience in Customer Service and/or Office Reception
Strong organization time management and problem-solving skills; ability to respond to shifting priorities and support multiple aspects of operational sustainability
Proficiency in MSOffice Google suite using database systems familiarity with group reservation systems and managing data across multiple platforms.
Energy and enthusiasm for the mission of the museum and demonstrated commitment to advancing the goal of making the museum a more inclusive and pluralistic place
Willingness to work a variable schedule (when events require)
PHYSICAL REQUIREMENTS
Prolonged periods of active movement and interaction with people; must be able to actively move 75% of the time.
Use of office technology required; must be able to look at a screen and use basic office equipment frequently
Physical ability to lift carry or push 30lbs at a time with or without assistance.
