RESPONSIBILITIES:
Essential Functions
Student and Enrollment Support
- Provide support to students seeking services or information from the Records Office.
- Assist staff with complex or non-standard enrollment processes.
- Provide department chairs with research to support informed decision-making.
Grading Administration
- Support faculty with grade submission.
- Report dual-enrollment grades to high school contacts.
- Manage grade posting and transcription processes.
Reverse Transfer Coordination
- Communicate with students to facilitate reverse transfer initiatives.
- Monitor student outcomes and post degrees when requirements are met.
- Accurately record reverse transfer degrees for reporting.
- Represent the college in statewide discussions related to reverse transfer.
Student Data Reporting
- Assist Institutional Research as needed with student data reporting.
- Conduct data cleanup to ensure accuracy of student records prior to reporting.
- Generate reports to support Records Office processes.
- Compile data to support institutional planning and decision-making.
Institutional Committee Participation
- Serve on committees to provide input and guidance on Records Office-related matters.
- Contribute to discussions on college policy with a working understanding of institutional operations.
Training and Development
- Demonstrate a commitment to continuous improvement within the Records Office.
- Research and implement best practices to enhance office performance.
- Maintain a forward-thinking approach to ensure institutional competitiveness in higher education.
Team Support
- Serve as a backup in various departmental roles as needed.
- Support and assist in the supervision of Records Office staff.
- Manage shared department email account to ensure timely and professional communication.
General Responsibilities
- Arrive for work on time attend work regularly and successfully complete the responsibilities of the position.
- Comply with HutchCC policies procedures and practices.
Secondary Functions
- Perform additional duties as assigned by the Registrar or Vice President of Student Services.
QUALIFICATIONS:
- Associates degree required Bachelors degree preferred
- Computer experience required
- Database Management Word and Excel proficiency required
- Experience working with people and excellent customer service habits required.
- Expertise in FERPA data privacy laws and managing institutional data.
- Ability to assist with the supervision of staff.
- Lifelong learner preferred
- The ability to work professionally with staff faculty and the public.
- Attentive to detail with high level of accuracy.
- Physical requirements: Excellent verbal written and listening skills; Must have the ability to sit for extended periods of time; exhibit manual dexterity to dial a telephone to enter data into a computer and to operate additional office equipment; to see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal levels and on the telephone; speak in audible tones so that others may understand clearly in person and on the telephone; to use appropriate judgment and to apply tact and courtesy in difficult situations; ability to understand words and respond effectively and appropriately; Attentive to detail accurately follow written and verbal instructions work independently Sedentary/Indoor work environment with a substantial amount of keyboarding required

HOURLY RATE and STATUS:
The hourly rate of pay is commensurate with qualifications as determined by HutchCC administration. This full-time support staff position is 12 month annual benefit eligible at-will and nonexempt.
