Job Description

Job Summary

The Lost and Found Representative plays a key role in reuniting pets with their families and reducing unnecessary shelter intake. This position provides compassionate professional and efficient customer service to community members by assisting with lost pet reports found animal intake and reunification efforts. Responsibilities include locating and contacting owners of lost pets conducting microchip and licensing searches utilizing social media and other outreach tools and ensuring timely communication and reunification with pet owners. This role requires strong problem-solving skills attention to detail and a commitment to compassionate care for both animals and people in alignment with HSPPRs mission values and goals.

Key Duties and Responsibilities

Lost and Found/Reunification

  • Serve as the primary contact for lost and found cases; trace animal identifiers (microchips tags licenses etc.) maintain reports and contact owners promptly to reunite pets with their families.
  • Notify owners of impoundment explain requirements and fees and guide them through reclaim or shelter processes. Ensure all return-to-owner options are pursued and documented.
  • Provide compassionate professional customer service to patrons in various emotional states; answer questions resolve concerns and connect the public with resources or referrals.
  • Educate community members on shelter processes pet care resources and animal welfare issues.
  • Acts as a liaison with community partners regarding animal receiving and disposition.
  • Maintain accurate records of animal intakes lost and found reports customer interactions and financial transactions.
  • Support Admissions operations as needed including intake services processing fees and handling donations.

Relationships

  • Collaborates with Admissions Representatives Animal Law Enforcement Veterinary Services and leadership teams on complex ownership disputes medical return-to-owner cases and advanced medical needs.
  • Builds and maintains positive working relationships with peers and volunteers.
  • Supports staff and volunteers by fostering teamwork recognizing contributions and ensuring quality service to clients community members and colleagues.

Communication

  • Communicates issues and concerns to the Admissions Manager.
  • Communicates effectively with staff and volunteers so pertinent parties are informed of issues/information.
  • Documents staff and volunteer complaints. Handles complaints and/or concerns with professionalism and good judgment. Involves Admissions Manager as necessary.
  • Communicates with and provides regular feedback and/or coaching to volunteers in a professional and timely manner.
  • Informs Admissions Manager of developments that may affect HSPPR or the department including department progress media exposure public image client concerns and personnel issues.

Fiscal Responsibility

  • Properly maintains equipment used.
  • Restocks all supply items daily. Reports needs for ordering maintenance and inventory of supplies and equipment.
  • Plans and organizes in anticipation of future needs.

Other

  • Commitment to the mission values goals and success of HSPPR.
  • Appropriately documents observed animal behaviors utilizing objective language as required in relevant procedures and/or policies.
  • Performs all other duties as assigned.

Physical Demands

  • Regularly sits at a computer workstation often in a shared office environment.
  • Frequently required to stand walk talk hear and reach with hands and arms; may be on feet for extended periods.
  • Regularly lifts and/or moves 25 pounds and occasionally lifts and/or moves 40 pounds of moving weight.
  • Occasionally required to climb balance stoop kneel crouch crawl and detect odors.
  • Must be able to use both hands and arms to grip pull and push when utilizing safety equipment (e.g. catch poles snappy snares leashes ropes muzzles).
  • Consistently exposed to animals of various sizes temperaments and behaviors including aggressive animals.
  • Regular exposure to animal allergens zoonotic diseases and noise in the workplace.
  • Specific vision requirements include close distance color peripheral vision and depth perception.
  • Potential exposure to hazardous weather conditions cleaning agents and other caustic or toxic substances.

Schedule Requirements

  • Tuesday - Saturday. Schedule will include regular weekend work and may include early mornings evenings and holidays as needed.
  • Fully on-site.

Education/Experience Necessary

  • Minimum of one (1) year of paid or unpaid experience working with animals in a kennel shelter doggie daycare grooming facility pet store farm veterinary hospital or equivalent environment.
  • Advanced training and/or instruction in customer service preferred.
  • Knowledge of animal breeds nutrition general care and behavior; professional animal handling experience and familiarity with Chameleon software are a plus.
  • Experience in conflict de-escalation required.
  • Strong verbal and written communication skills essential.
  • Ability to read write interpret communicate problem-solve and perform basic math at a level consistent with a high school diploma or equivalent.
