Job Description

JOB GOALS: Under general supervision performs administrative work for the Department and performs other duties as assigned.

  • Organize and coordinate a wide variety of office functions related to the administration of diverse programs and operations at a school.
  • Prioritize and schedule duties and assignments to assure efficiency and effectiveness and to meet established timelines.
  • Communicate with District personnel to coordinate school operations and maintenance.
  • Compute record and proofread data and other information such as records or reports.
  • Answer office phones direct calls and take messages or transfer calls to appropriate individuals.
  • Operate office equipment such as fax machines copiers and phones and use computers for spreadsheets word processing database management and other applications. Troubleshoot problems involving office equipment.
  • Submit orders and requisitions communicate with vendors maintain budget and bookkeeping documentation as directed by the Department Supervisor.
  • Complete and mail bills contracts policies invoices or checks.
  • Addresses standard inquiries by letter phone email fax or personal contact.
  • Complete work schedules manage calendars and arrange appointments.
  • Prepare meeting agendas attend meetings and record as assigned.
  • Process and prepare documents such as business and government forms.
  • Assist with management retrieval and destruction of records within established guidelines.
  • Maintains confidentiality of records.
  • Greet and assist students staff parents/guardians and any other visitors as needed.
  • Prepare create and compose letters reports and other documents for the school/department or instructional programs;
  • Establish and maintain cooperative and effective working relationships with others.
  • Work confidentially with discretion and adheres to the appropriate code of ethics.
  • Perform special projects as required.
  • Other duties as assigned.

QUALIFICATIONS:

  • High school diploma or equivalent related school or office experience
  • Knowledge of office procedures
  • Ability to use office equipment computers and technology proficiently
  • Must possess data entry skills
  • Must have excellent oral communication skills
  • Must be able to work well with others
  • Ability to exercise good judgment and common sense
  • Ability to manage multiple tasks simultaneously and under pressure with accuracy and accountability
  • Ability to make decisions and solve problems
  • Demonstrated aptitude and competence for other assigned responsibilities

Rate of Compensation: In accordance with AFSCME Clerical Collective Bargaining Agreement
