Office Manager (Planning) Permanent based in Northampton NN5
Job Purpose:
To work collaboratively across all aspects of the Planning Department ensuring accurate data management system maintenance legal compliance and administrative support. This role will support the efficient running of planning operations contribute to business improvements and uphold company standards.
Main Duties and Responsibilities:
- Oversee the day-to-day operations of the Planning Department.
- Maintain accurate and accessible records for all current contracts.
- Manage planning and coordinating systems to facilitate order raising invoicing and processing.
- Record and report environmental data including carbon footprint and share relevant data with clients.
- Keep sub-contractor information including rates updated and organized.
- Ensure legal compliance through accurate documentation of delivery tickets site information and spreadsheets.
- Process employee timesheets in line with system records and coordinate with Payroll.
- Ensure all paperwork (e.g. waste transfer notes site report sheets) is complete and easily accessible.
- Monitor and assess the effective use of electronic systems (Evotix Google tools etc.).
- Support future planning and scheduling by gathering and inputting data into programmes and FocalPoint.
- Maintain and update Method Statements and Risk Assessments sharing with clients as needed.
- Provide assistance to directors managers coordinators and admin staff as required.
- Develop the role by improving systems and information management under guidance from senior staff.
- Continuously enhance knowledge of industry standards and internal procedures.
- Attend relevant training to support your responsibilities and professional development.
- Implement and promote the companys Health and Safety policies consistently.
- Ensure professional representation of the Planning Department and associated companies.
- Carry out additional duties aligned with business needs and evolving role requirements.
Person Specification:
- Highly organised with excellent attention to detail.
- Strong communication and interpersonal skills.
- Proactive and adaptable approach to problem-solving.
- Confident working independently and as part of a team.
- Ability to handle sensitive information with discretion.
Experience:
- Previous experience in planning coordination or administrative roles preferred.
- Familiarity with project management systems (e.g. FocalPoint Google Workspace Evotix) desirable.
- Experience working within a construction logistics or environmental services environment is an advantage.
Hours of Work:
- Full-time Monday to Friday. Specific hours to be confirmed at interview.
