Job Summary:
We are seeking a professional friendly and highly organized individual to manage our front reception desk while also providing administrative and operational support to our sales team. The ideal candidate will be the first point of contact for visitors and clients and will play a key role in ensuring smooth coordination within the sales department.
Key Responsibilities:
Front Desk Reception:
- Greet and welcome visitors in a professional and courteous manner.
- Answer and direct incoming phone calls to appropriate staff.
- Handle general inquiries from clients and vendors.
- Maintain a clean and organized reception area.
- Manage incoming and outgoing mail and deliveries.
- Schedule appointments and manage meeting room calendars.
Sales Department Support:
- Assist the sales team with preparing quotes entering sales orders and presentations.
- Maintain and update client contact information and CRM records.
- Help organize and support sales meetings events or travel arrangements for visiting Customers.
- Perform data entry filing and other administrative tasks related to sales activities.
Qualifications:
- High school diploma or equivalent required; associate or bachelors degree preferred.
- Previous experience in a receptionist or administrative support role is a plus.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word Excel Outlook) and CRM systems would be preferred.
- Excellent time management organization and multitasking skills.
- Friendly professional demeanor with strong customer service skills.
Work Environment:
- Office-based role with regular hours.
- Requires sitting working at a computer and occasional lifting of office supplies.
