Director US HR Operations Lead
Location:Miami / Boston
Position Summary:
We are looking for the US HR Operations Lead to lead and manage the operational aspects of our US HR departments. This role is critical in ensuring that HR processes systems and policies are efficient compliant and aligned with the organizations strategic goals. The ideal candidate will have a strong background in HR operations excellent leadership skills and a deep understanding of employment laws and best practices.
As the US HR Operations Lead you will be responsible for streamlining HR processes managing HR systems and ensuring a seamless employee experience. You will work closely with other HR leaders and cross-functional teams to drive operational excellence and support the organizations growth. This position requires a proactive and detail-oriented professional who can balance strategic thinking with hands-on execution.
Additionally you will be responsible for developing maintaining and optimizing end-to-end HR cycle processes at the country level ensuring efficiency compliance and alignment with business objectives. This includes payroll benefits administration employee lifecycle management and process standardization to enhance the employee experience and operational effectiveness.
As the US HR Operations Lead you will oversee payroll benefits and HR administration ensuring US compliance regulations. You will manage third-party vendors including ADP and lead the implementation and integration of Workday processes with ADP to ensure tax and regulatory compliance and outstanding payroll quality.
Key Responsibilities:
Leadership and Team Management:
- Lead and mentor a team responsible for payroll benefits and HR operations fostering a collaborative and high-performance culture.
- Oversee the performance development and engagement of team members to ensure alignment with organizational objectives.
Payroll Management:
- Manage end-to-end payroll processes for US and Canadian employees ensuring accuracy compliance and timeliness.
- Implement and maintain payroll policies procedures and controls to mitigate risks and improve efficiency.
- Lead payroll optimization and harmonization projects across the region within the global framework.
Benefits Administration:
- Administer employee benefits programs including health insurance retirement plans and other perks.
- Coordinate open enrollment periods and assist employees with benefits selection.
- Manage relationships with benefits providers and ensure compliance with relevant regulations.
HR Operations and Administration:
- Oversee HR operational activities such as employee onboarding offboarding benefits administration and data management.
- Collaborate with cross-functional teams to streamline HR processes and enhance the employee experience.
- Understanding of HR processes information systems and governance
Responsible for developing maintaining and optimizing end-to-end HR cycle processes at the country level ensuring efficiency compliance and alignment with business objectives. This includes payroll benefits administration employee lifecycle management and process standardization to enhance the employee experience and operational effectiveness
Vendor Management:
- Manage the quality of our outsourced payroll service providers with particular focus on ADP ensuring service level agreements are met and issues are resolved promptly.
- Conduct regular reviews of vendor performance and contract negotiations to optimize service delivery and cost-effectiveness.
Workday Implementation and Integration:
- Lead the implementation maintenance and optimization of Workday processes ensuring seamless integration with ADP for payroll and compliance.
- Collaborate with IT and HR teams to troubleshoot system issues implement upgrades and ensure data integrity.
- Co-create and implement Workday process standardization and optimization.
Compliance and Regulatory Management:
- Ensure compliance with federal state and provincial payroll and benefits regulations in the US.
- Stay updated on changes in payroll and benefits laws and regulations and implement necessary adjustments to policies and procedures.
Project Management:
- Lead and execute strategic projects related to payroll HR operations and system enhancements including integrating new countries into the service model from initiation to completion.
- Develop project plans allocate resources and track progress against milestones to ensure timely delivery and stakeholder satisfaction.
Reporting and Analytics:
- Develop and maintain comprehensive reporting systems to track payroll benefits and HR metrics.
- Analyze data to identify trends issues and opportunities for improvement.
- Provide regular reports to senior management and stakeholders.
Workday End-User Support and HR Help Desk:
- Provide end-user support for Workday assisting employees with system navigation and troubleshooting.
- Manage the HR help desk ensuring timely and effective resolution of employee inquiries and issues.
- Train employees on Workday functionalities and updates.
Employee Experience Initiatives:
- Develop and implement initiatives to enhance the overall employee experience focusing on engagement satisfaction and retention.
- Collaborate with HR Business Partners to identify and address employee needs and concerns.
- Foster a positive work environment through recognition programs wellness initiatives and continuous feedback mechanisms.
401(k) Finance Payroll Controls and Reconciliations:
- Oversee the administration of 401(k) plans ensuring accurate and timely processing of contributions and distributions.
- Implement and maintain robust payroll controls and reconciliation processes to ensure financial accuracy and compliance.
- Collaborate with Finance and Accounting teams to conduct regular audits and resolve discrepancies.
Service Reporting & People Analytics GPO
- Develop and lead the people analytics approach to provide insights into workforce trends and inform HR decision-making.
- Collaborate with HR teams to standardize data collection and reporting processes.
- Develop and implement service reporting frameworks to track and measure the performance of HR operations.
- Ensure consistent and accurate reporting across regions providing insights into service delivery and operational efficiency.
- Collaborate with HR teams to identify and address service delivery challenges and opportunities for improvement.
Qualifications:
- Bachelors degree in Human Resources Business Administration or a related field; Masters degree preferred.
- Minimum of 10 yearsof progressive experience in HR operations payroll management and shared services roles preferably in a publicly listed company and critical experience in smaller startup-like dynamic environments.
- Strong knowledge of payroll processes compliance requirements and regulatory standards in the US.
- Experience in managing payroll managed services ADP with particular expertise in the WorkforceNow platform and Workday integration.
- Deep expertise in managing end-to-end 401(k) plans in payroll.
- Experience leading and developing high-performing teams in a matrixed environment.
- Proficiency in process improvement methodologies such as Six Sigma or Lean with a track record of driving operational efficiencies.
- Demonstrated expertise in HR systems particularly Workday and ADP including implementation.
- Excellent project management skills with the ability to manage multiple priorities in a fast-paced dynamic environment. Strong experience on transformation / change management in a multi country / cultural environment including process re-engineering and end-to-end processes simplification.
- Strong analytical and problem-solving abilities with attention to detail and accuracy.
- Excellent communication and interpersonal skills with the ability to influence stakeholders at all levels of the organization.
- Fluency in English; proficiency in French is ideal Spanish highly desirable and any other language is a strong plus.
