Job Description

Location: Channelside Tampa

In office: 5 days per week

Hours: 8am -5pm M-F

Role overview:

The Corporate Administrative Assistant is responsible for managing the front desk and essential administrative tasks. Candidate must be professional adaptable detail-orientated and organized.

Position Responsibilities

Daily:

  • Welcome guests ensuring that the reception area is warm welcoming and presentable.
  • Answer screen route calls and relay messages in a timely manner.
  • Assist Executive Assistant and corporate personnel with onsite meetings including catering requests.
  • Update and email Service Interruption Notice
  • QualaTrax customer portal create credentials for new customers
  • Handle outgoing mail sort and distribute incoming mail and FedEx packages.
  • Update Facility and People Directories
  • Provide building key access fobs for guests auditors
  • Shipments via FedEx as needed

Weekly:

  • Order weekly lunch/breakfasts for the Corporate office
  • Order office supplies restock and organize to both suites
  • Maintain cleanliness and organization of conference rooms before and after meetings mail room and storage closet.
  • Update People and Facility Directories in Google Sheets as needed
  • Assist corporate personnel with miscellaneous duties and projects as assigned.

Minimum Qualifications

  • High school diploma or equivalent required; Associates degree or higher preferred.
  • 2-3 years of administrative experience in an office setting.
  • Experience with Google Suite including Gmail Google Sheets and Documents and Microsoft Suite: Word and Excel
  • Strong sense of professionalism and confidentiality of sensitive information.
  • Well organized detailed oriented and ability to multi-task.
  • Strong communication skills both written and verbal.
