Job Summary:

This position will provide administrative support for the Northwest District as follows: under general supervision performs a variety of administrative functions of moderate difficultyand serves as support staff to Northwest District Maintenance Team by providing procurement activities to assigned maintenance units and administrative duties to the NorthwestDistrict management staff Management Analyst. Coordinates activities and administrative matters between organizational units that have a moderate impact on agency considerable self-initiative and being able to work in a team environment. Establishes good working relationships with other district staff members general public othergovernment agencies and from private entities.

Job Duties:

Perform specialized research and cost estimating for maintenance supervisors track and manage maintenance services product and inventory items:identify and recommend any trends for future budget preparation; verification of ETE(timecard) entries vs PeCos entries by supervisors of maintenanceunits; report maintenance unit expenditures in PeCoS.

Perform purchasing of approved goods and services and hotel stays for the District office and assigned maintenance units and assures compliance withState procurement law; generates purchase requisitions confirms deliveries services and receiving; processes invoices for submission; assists with otherneeds within the District. Reviews and monitors budget expenditures for maintenance units.

Provide administrative support to maintenance supervisors and District management staff providing front desk coverage to include greeting customersanswering district phone and conference room scheduling sorting any incoming mail inputting facilities work orders or ITG/Service desk work orders formultiple District offices. Assists with annual fixed asset inventory audit monthly recognition District communication and other special projects; may operate a State vehicle inthe course and scope of conducting State business. Attend meetings trainings and seminars as required. Coordinate activities with other District groupsADOT divisions and community organizations.

Knowledge Skills & Abilities (KSAs):

Knowledge of:

  • Administrative practices such as business math accounting principles English and business communications.English
  • Procurement rules and regulations to include but notlimited to supplier and contract research receiving and invoice validation and processing.
  • State agency rules regulations and operating procedures.
  • Google Workspace (Gmail Docs Sheets Slides Forms ChateCalendar and Google Drive) Adobe Acrobat and Microsoft Office Word Excel).

Skills in:

  • Business communications both verbal and written.
  • Research and problem solving.
  • Maintaining a high level of confidentiality while forming andmaintaining interpersonal business relationships.
  • Ability to work independently with little or no direction.Utilize self-initiative to establish priorities and meet established deadlines.
  • Maintain excellent customer service to employeesmanagement and outside entities.

Ability to:

  • Plan coordinate analyze and establish priorities.
  • Comprehend and deliver detailed instructions.
  • Communicate effectively verbally and in writing.
  • Work in a flexible and changing environment and able to multitask
Selective Preference(s):

Minimum 3 years administrative or accounting experience or combination or Bachelors degree in Business Accounting or related field.

Pre-Employment Requirements:

Valid Arizona Drivers License -This position requires driving or the use of a vehicle as an essential function of the job and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current valid class-appropriate drivers license complete all required training and successfully pass all necessary drivers license record checks. The license must be current unexpired and neither revoked nor suspended. Employees who drive on state business are subject to drivers license record checks must maintain acceptable driving records and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R.11).

All newly hired State employees are subject to and must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).
