Position Summary:
This position will perform a wide variety of duties associated with supervising and overseeing the operation maintenance renovation or any other tasks related to bank owned facilities including OREO properties resulting from certain loan workout and collections efforts. This position will be responsible for following all the pre-established guidelines of condition of all bank owned facilities. This position will be responsible for the coordination and completion of all repairs maintenance security and safety of all bank owned facilities. The facility Coordinator will assist the Facilities Manager Shareholders and the Bank President with all new bank property and facilities as well as major renovations on existing bank owned facilities. This position will be required to provide assistance and coordinate with the Banks Interior Design Consultant on all exterior and interior architect and design matters and will adhere to pre-established expectations and guidelines of condition for all bank owned facilities including bank furnishings artwork lighting grounds and landscaping. The level of this position is based on years of service education and/or equivalent experience knowledge level and skill set.
Essential Functions:
To perform this job successfully an individual must be able to perform each Essential Function and Skill satisfactorily. 1.Responsible for all day-to-day cleaning repairs and maintenance and administration and organization of all bank facilities. This would include periodic deep cleaning and maintenance pertaining to windows window treatments carpeting ceiling and oor tiles and rugs and mats.
2.Primary contact and responsibility for third-party service provides; includes researching and identifying essential service providers negotiating and administering vendor contracts and agreements as well as vendor adherence to pre-established service level standards and expectations.
3.Responsible for routine periodic inspections of all bank-owned facilities including bank furnishings artwork lighting windows. Grounds and landscaping. Responsible ensuring adherence to pre-expectations and guidelines surrounding facilities condition and aesthetics.
4.Oversee all landscaping and ground maintenance service administration and support of third-party services. Includes irrigation lawn care and wed control pruning and trimming and sidewalk maintenance and administration.
5.Collaborates with the Banks Interior Design Consultant on all building design and architect matters. Receives direction from the Facilities Manager Banks Interior Design Consultant and oversees and follows up through completion on all building renovations and xtures and furnishings installation and removal.
6.Provide knowledge expertise and ability to perform light repairs and maintenance that does not require a special contractor license or certication.
7.Provide routine periodic inspection and testing preventative maintenance and external certication as necessary on all major mechanicals which include HVAC elevators electrical plumbing roong and sewer/septic.
8.Oversee and ensure maintenance and service on all interior and exterior facility signage; work directly with Facilities Manager Marketing Manager on any repairs changes and modications to signage to ensure compliance and adherence with current trademark and brand standards.
9.Oversee and supervise third-party vendors and subcontractors on facilities furnishings or ground and landscaping related special projects. Provide nal inspection and approval of work prior to nal authorization of vendor and subcontractor payment for materials and services.
10.Oversee the purchasing and requisition of all supplies parts equipment and furnishings essential for the proper functioning of bank owned facilities. Includes negotiating and bargaining receive and check materials and supplies record details of all purchases and provides authorization on payment of vendor goods and services and lien waivers.
11.Responsible for ensuring that facilities are safe to work at and do business and necessary safety equipment has been precautions are being followed at each facility.
12.Provide assistance and support to the Facilities Manager Bank President and Chief Accounting Officer in compiling annual facility related operating budgets including anticipated capital expenditures.
13.Excellent organizer who knows how to prioritize and tasks in accordance with timelines; sense of urgency and understanding criticality of situation.
14.Cultivates strong relationships with branch personnel and vendors and service providers to ensure the delivery of high-quality service on-going communication needs and operational consistency.
15.Stay abreast of all applicable laws and regulation and work with branch personnel and vendors and services providers to ensure facility compliance.
16.Upholds complete condentiality of all condential and private customer information on premises.
17.Routine periodic travel will be required to accommodate facility replated functions at all banks owned facilities within both Minnesota and Montana.
18.This position requires a valid Drivers License.
19.Assign the workload of the facilities Coordinator direct reports ensuring they are professionally trained to perform their duties evaluate their performance and recommend any disciplinary if necessary.
20.Ensure proper coverage and staffing for all direct reports which includes reviewing and approving time off requests and timesheets.

23.Travel for trade and industry schools and seminars as needed.
24.This position may require installation of a Multi-Factor Authentication (MFA) app on an employees personal mobile device. THE MFA apps are used to authenticate a users identity to the system for security purposes.
25.Adhere to and comply with all applicable federal and state laws regulations and guidance including those related to BSA/AML as well as adhere to the Banks policies and procedures.
26.Perform other duties as assigned and requested.
