Job Description

Job Summary/Basic Function:

Responsible for performing coordinative and administrative duties in the facilitation of support for the specified department.

This position may have the opportunity to work remotely where all work is performed from an alternative work location either within or outside the state of Idaho.

Candidates in this role must be able to work Monday through Friday 8:00 am - 5:00 pm (Mountain Time) providing real-time scheduling support through Zoom chat and email while also completing assigned duties based on priorities.

This position is not eligible for VISA Sponsorship.

The Division of Extended Studies is on a mission to extend higher education beyond traditional boundaries. Our collaborative teams expand student access and improve student success with innovative programs that reach across our metropolitan area Idaho and beyond. We facilitate online education community-based programs concurrent enrollment at high schools summer sessions continuing education programs and other lifelong learning options. Join us!

The Operations team within the Division of Extended Studies comprises three distinct yet highly collaborative areas: Customer Services Scheduling Services and Systems & Reporting. Each team is critical in supporting the divisions mission and contributes to high-quality service and operational excellence across all programs.

Level Scope:

Fully competent and productive professional contributor who applies acquired job skills policies and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity. Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action. May provide guidance and assistance to entry level professionals and/or support employees.

Essential Functions:

Contributing to divisional project teams developing and implementing initiatives emerging from strategic planning.
Coordinates monitors and implements academic program related activities following policies and procedures.
Coordinates the evaluation of program operations course offerings projects processes and procedures.
Works collaboratively with various university faculty and staff to complete various program related projects in alignment with deadlines.
Collects manages and edits data for academic program reports.
Ensures availability and delivery of support services are provided to the programs.
Develop coordinate deliver and evaluate educational programs and training sessions webinars presentations professional development offerings and in-person training.
Analyzes data generates and/or assists with and disseminates periodic reports.
Works collaboratively to set program goals and coordinates the evaluation of program operations course offerings projects processes and procedures.
Responds to requests for information from faculty staff students outside agencies and community partners.
Adhere to the academic calendar and the course schedule development calendar that is published by the Registrars Office and interpret University policies and procedures to confirm Extended Studies course scheduling adheres to these policies and procedures.
Maintain class scheduling details (including online summer workshop and program fees) for all academic classes scheduled by Extended Studies.
Generate batch and individual permission numbers for courses as needed.
Perform regular queries and audits to ensure class scheduling accuracy.
Troubleshoot student enrollment issues and escalate to various systems and Registrar teams as necessary.
Perform SIS testing for system updates quarterly (or as needed).
Participate in training opportunities for new department schedulers or campus-wide training sessions.
May perform other duties as needed.

MinimumQualifications:

Bachelors Degree and 5 years of professional experience or equivalent relevant experience.

Preferred Qualifications:

Microsoft Excel Intermediate Proficiency.
At least 2 years of experience with Google Suite products (Gmail Drive Sheets Docs etc.).
At least 2 years of professional experience working in a higher education setting preferably within administrative or enrollment units. Examples include Registrars Office operations Academic scheduling or course coordination Student services in higher education or Academic administration.
At least 2 years of experience with SIS platformsPeopleSoft Campus Solutions (Oracle) Banner (Ellucian) Colleague (Ellucian) etc.
At least 2 years of experience with Facility/Room Scheduling Software25Live EMS etc.

Salary and Benefits:
Salary range is $53000-$58000/yr and is commensurate with State University provides a best-in-classbenefits package including (but not limited to):
