Job Description

Job Title: Administrative Coordinator/Scheduler
Duration: 12 Months (with possible extension)
Location: Everett MA 02149 (On-site 5 days/week)

Position Overview

The Administrative Coordinator/Scheduler will provide high-level support to the Commissioner by managing a demanding and fast-paced schedule that includes meetings events public appearances and travel. This role ensures the Commissioner is fully prepared for all commitments while supporting the smooth daily operations of the Office. Reporting to the Chief of Staff the Coordinator will work closely with senior staff to align priorities and maintain organizational efficiency.

Key Responsibilities
  • Manage and prioritize the Commissioners complex calendar balancing internal and external commitments.

  • Schedule confirm and coordinate meetings interviews events and public functions.

  • Prepare briefing materials agendas and meeting binders on a daily and weekly basis.

  • Organize and manage Zoom/virtual meetings ensuring proper technical setup.

  • Arrange and coordinate domestic travel logistics.

  • Handle a high volume of confidential and time-sensitive correspondence.

  • Collaborate with the Chief of Staff to align scheduling priorities with organizational goals.

  • Ensure the Commissioner is briefed prepared and supported for all engagements.

  • Adjust and adapt schedules proactively to meet shifting priorities.

Qualifications
  • Demonstrated experience managing executive-level calendars and schedules.

  • Strong organizational and multitasking abilities with attention to detail.

  • Excellent written and verbal communication skills.

  • Professionalism discretion and sound judgment in handling sensitive information.

  • Proficiency with Microsoft Office Suite (Outlook Word Excel) and video conferencing tools (Zoom).

  • Ability to work independently and as part of a team in a fast-paced environment.

  • Prior experience in government or public service is preferred.
