Your Role as Events Coordinator
The Events Coordinator will plan and execute student-facing events increasing student participation and engagement and building and strengthening community partnerships. The Events Coordinator will lead on a variety of high school and college student focused events including direct student outreach material creation and staff trainings. The Events Coordinator will also support the coordination of events hosted by our External Relations Team.
- Program Event Coordination: In collaboration with Program team leadership develop a calendar of events to support Access and Success student-facing programming. Coordinate the planning and implementation of program events including staff and student communication event staffing cross-functional team collaboration resource creation booking transportation communicating with external organizations and vendors and maintaining internal safety protocols. Events include end-of-year celebration for high school students career panels and other internal college-exposure opportunities for staff.
- Campus Visit Management: Plan and manage the Access Program campus visit opportunities to partner colleges including communicating with students communicating with partner colleges managing student RSVP process creating post-event reports and supporting the overall management of partnerships with colleges.
- External Relations Team Event Support: Provide event planning and implementation support for the College Possible Minnesota External Relations Team including 25th Anniversary Gala and individual giving donor events.
- Train Staff and AmeriCorps: Ensure AmeriCorps members and College Possible staff are adequately trained in order to effectively promote events to students and execute high quality events. This may include creating and communicating process workflows designing resources and describing opportunities for use creating staffing plans and responsibilities collecting feedback and more.
- Evaluate Track and Report on Progress: Independently or through the supervision of the Director of Partnerships and Community Engagement regularly review event data including RSVPS attendance and program engagement to evaluate event impact and improvements. Support managers in staff supervision by providing regular data updates upcoming event priorities and other program data analysis to increase event participation by students and ensure data accuracy.
- Special Projects and other duties as assigned.
What You Bring
Education/Certifications/Licenses:
- Bachelors degree required.
Related Work Experience:
- At least two full years full-time work experience required;
- Demonstrated success and experience in event planning events ranging in size from 30 attendees to over 1000 attendees required;
- Demonstrated success and experience in project management and/or partnership cultivation required;
- Experience with AmeriCorps VISTA or other service programs preferable not required.
Computer/Software Skills:
- Strong computer skills including demonstrated proficiency in: Microsoft Word Excel PowerPoint Outlook and other Office Suite programs.
- Experience with Salesforce preferable not required
Other Skills Abilities and Requirements:
- Ability to work well with diverse types of people in a team environment;
- Sound time management skills ability to manage multiple projects independently meet deadlines and handle complex and stressful situations in a calm and appropriate manner;
- Polished communication skills both written and verbal for building relationships and credibility with external partners;
- Detail focused in event planning and event management;
- Strong public speaking skills;
- Demonstrated evidence of creativity and resourcefulness;
- Ability to work some evenings and weekends.
Physical Requirements:
- Ability to lift up to 15 pounds when needed
- Office environment with limited travel
- Ability to stand and/or sit for a minimum of 7 hours a day
