This is a remote position.
The Order Processing Specialist is a key operational role responsible for coordinating and managing the entire lifecycle of leasing and property management orders. This position ensures seamless execution of tasks accurate documentation and timely communication across internal teams vendors and stakeholders.
Order Intake & Processing
Accurately receive review and process new lease agreements work orders and service requests.
Input track and manage data in internal systems ensuring timely progression from initiation through completion.
Cross-Functional Coordination
Liaise with Brokerage and Property Management teams to confirm critical details such as move-in dates tenant improvement requirements and transaction milestones.
Engage vendors monitor task timelines and follow up to guarantee quality service delivery.
Documentation & Compliance
Prepare manage and archive lease documents work order forms and related transaction paperwork.
Ensure all documentation adheres to company standards and regulatory requirements.
Communication & Issue Resolution
Serve as a point of contact for internal teams tenants and vendors regarding order status or documentation needs.
Proactively resolve potential bottlenecks or escalate when necessary to ensure smooth operations.
Data Accuracy & Reporting
Maintain precise and up-to-date records in database or lease management tools.
Support the creation of operational reports highlighting volume processing timeframes and process improvement opportunities.
High school diploma or equivalent; Associate s degree or certification in Business Administration or Property Management preferred.
1 3 years of experience in order processing administrative operations or leasing support especially in a real estate or similar setting.
Exceptional attention to detail organizational strength and accuracy in data entry.
Strong communication and interpersonal skills with capacity to coordinate across teams and manage multiple priorities.
Proficiency with standard office software (Microsoft Office suite) and familiarity with lease management or database systems advantageous.
