Job Description

This is a remote position.

Position Summary

The Records Specialist is responsible for organizing maintaining and securing company records both physical and digital. This role requires a high level of attention to detail a strong understanding of records management systems and the ability to ensure compliance with company policies and regulatory requirements.


Key Responsibilities

  • Maintain organize and retrieve company records in accordance with internal procedures and legal/regulatory standards.

  • Process incoming and outgoing records and documentation ensuring accurate categorization and filing.

  • Scan upload and index physical records into electronic record keeping systems.

  • Respond to internal and external requests for records in a timely and confidential manner.

  • Ensure the integrity and security of sensitive or confidential information.

  • Assist with periodic audits and records retention schedules.

  • Track and archive inactive records according to company policy.

  • Support document destruction processes when appropriate.


Qualifications

  • High school diploma or equivalent required; associate degree or relevant certification preferred.

  • 1 years of experience in records management administrative support or clerical work.

  • Strong organizational and data entry skills.

  • Familiarity with document management software and Microsoft Office Suite.

  • Ability to handle confidential information with discretion and professionalism.

  • Strong attention to detail and commitment to accuracy.

  • Ability to work independently and manage multiple tasks simultaneously.


Preferred Skills

  • Experience with records management systems (e.g. SharePoint Laserfiche or similar).

  • Knowledge of compliance and retention policies relevant to insert industry if known.

  • Familiarity with legal or financial documentation.
