The Records Specialist is responsible for organizing maintaining and securing company records both physical and digital. This role requires a high level of attention to detail a strong understanding of records management systems and the ability to ensure compliance with company policies and regulatory requirements.
Maintain organize and retrieve company records in accordance with internal procedures and legal/regulatory standards.
Process incoming and outgoing records and documentation ensuring accurate categorization and filing.
Scan upload and index physical records into electronic record keeping systems.
Respond to internal and external requests for records in a timely and confidential manner.
Ensure the integrity and security of sensitive or confidential information.
Assist with periodic audits and records retention schedules.
Track and archive inactive records according to company policy.
Support document destruction processes when appropriate.
High school diploma or equivalent required; associate degree or relevant certification preferred.
1 years of experience in records management administrative support or clerical work.
Strong organizational and data entry skills.
Familiarity with document management software and Microsoft Office Suite.
Ability to handle confidential information with discretion and professionalism.
Strong attention to detail and commitment to accuracy.
Ability to work independently and manage multiple tasks simultaneously.
Experience with records management systems (e.g. SharePoint Laserfiche or similar).
Knowledge of compliance and retention policies relevant to insert industry if known.
Familiarity with legal or financial documentation.
