Job Description

Position Summary

The Associate Chief of Staff supports the Chief of Staff in the daily operations and execution of the Mayors priorities. Working as a key member of the Mayors Office team this position helps ensure coordination across departments facilitates policy research tracks progress on city initiatives and supports high-level internal and external communications. This role requires strong organizational skills political awareness and the ability to work collaboratively with diverse stakeholders. Employees in this role are responsible for supporting discrete policy areas and operational efforts as determined by the Chief of Staff.

Essential Functions

  • Assist in advancing the Mayors key priorities by supporting the planning and coordination of projects and initiatives.
  • Track progress on assigned strategic goals and initiatives and report updates to the Chief of Staff.
  • Support the scheduling and preparation of meetings briefings and public appearances for the Mayor and senior staff.
  • Conduct background research and synthesize policy information to support decision-making by the Mayor and senior staff.
  • Prepare briefing documents memos talking points and presentations for internal and external engagements.
  • Monitor legislative programmatic or political developments at the city state and federal levels.
  • Coordinate timelines stakeholders and communications for priority projects assigned by the Chief of Staff.
  • Support follow-up efforts and ensure accountability on action items from meetings or directives.
  • Facilitate interdepartmental communications and issue tracking to ensure alignment.
  • Serve as a point of contact for designated external stakeholders and community partners on behalf of the Mayors Office.
  • Assist in managing partnerships with public nonprofit and private sector organizations to move forward shared goals.
  • Represent the Mayors Office in meetings forums or events as assigned.
  • Draft internal communications and ensure the timely flow of information within the Mayors Office.
  • Support the logistical needs of the Chief of Staff including document preparation and meeting coordination.
  • Maintain organized records files and tracking systems related to ongoing initiatives.
  • All other duties as assigned.

  • Building relationships and representing the Mayors Office professionally.
  • Facilitating meetings and preparing briefings for executive leadership.
  • Analyzing complex information and distilling key insights.

  • Handle multiple priorities with attention to detail and follow-through.

Qualifications :

Bachelors degree in public administration political science business administration or a closely related field. Masters degree preferred.

Three to five years of experience in government public policy public service non-governmental agencies non-profits or related fields.

Salary Range: $90000 - $115000
