Job Description: Office Manager (In Person)

Position Summary:
We are seeking a highly organized proactive Office Manager to oversee daily administrative operations. This role is critical in supporting technical staff ensuring operational efficiency and maintaining company compliance with internal procedures and external regulations.

Responsibilities:

Administrative & Office Operations

  • Manage day-to-day office operations and administrative workflow.
  • Assist Business Unit Leader with all administrative functions.
  • Support administrative staff.
  • Serve as a liaison between technical teams executives and support staff to ensure smooth internal communication.
  • Coordinate office supplies service vendors equipment and maintenance needs.
  • Cultivates strong self-management and prioritization skills based on workload and objectives.


Project Support

  • Support proposal preparation project setup and contract documentation.
  • Manage calendars meeting coordination and internal event planning.
  • Implement and improve administrative systems and processes to support efficiency and productivity.
  • Perform administrative duties as the job requires.


Compliance & Contract Support

  • Maintain company compliance with internal policies and external industry legal and regulatory requirements.
  • Oversee document control records management and correspondence tracking.


HR & Personnel Coordination

  • Assist in onboarding and orientation for new employees including workspace setup and HR documentation.
  • Foster a positive professional office culture focused on collaboration and productivity.


Requirements:

  • Must be Authorized to Work in the U.S.
  • Valid driver s license clean driving record and reliable transportation.
  • High school diploma or GED required.
  • Fluent in English.
  • Public speaking and presentation skills (is a plus).
  • Highly organized.
  • Intradepartmental Communication Skills.


Qualifications:

5 years of administrative or office management experience preferably within an engineering surveying construction or technical services firm.

Strong proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint Teams).

Experience with maintaining document management systems.

Excellent written and verbal communication skills.

Strong organizational skills and the ability to prioritize competing tasks.

Ability to maintain confidentiality and handle sensitive information professionally.

Work Environment:

  • Office-based with occasional visits to field or client sites for administrative coordination.

Location: Deerfield Beach office. Occasional travel. In person.

Job Type: Full-time Salary Exempt

Pay Range: $48000 - $70000/YR.
