Job Description

On behalf of our client in Milton Ontario we are seeking a professional friendly and organized Receptionist to serve as the first point of contact for clients and visitors with responsibility for managing front desk operations assisting with administrative tasks and ensuring a welcoming atmosphere for clients and staff.

Who is our client Our client is made up of a dynamic and professional team providing a wide range of accounting services - from audits and review engagements to personal income tax returns and compilations from payroll to bookkeeping - they do it all! They work hard for their clients small to medium-sized businesses in a variety of industries and locations.

Salary: $50000 per year

Hours of Work:
Monday to Friday 9:00am - 5:00pm (Full-Time)
During tax season (March and April) 1/2 days on Saturdays

Key Responsibilities

  • Greet clients visitors and vendors in a courteous and professional manner.
  • Answer phone calls direct inquiries and schedule appointments for the accounting team.
  • Maintain a clean organized reception area ensuring it is welcoming at all times.
  • Assist clients with check-in and ensure they are comfortable while waiting.
  • Handle incoming and outgoing mail packages and deliveries.
  • Assist in preparing meeting rooms for client or team meetings.
  • Manage and maintain office supplies and inventory ensuring availability of necessary materials.
  • Provide general administrative support including filing data entry and document preparation.
  • Schedule and confirm client appointments and follow up on cancellations or rescheduling.
  • Coordinate with the accounting team to ensure client needs are met in a timely manner.
  • Maintain confidentiality of sensitive information especially client financial data.
  • Ensure the efficient operation of the front desk area including handling office equipment and systems.

Requirements

  • High school diploma or equivalent; additional certifications or experience in administrative roles a plus.
  • Strong verbal and written communication skills.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word Excel Outlook).
  • Strong organizational skills and attention to detail.
  • Professional appearance and demeanor.
  • Previous experience in a receptionist administrative or customer service role is preferred.
  • Knowledge of accounting or finance terms is a plus but not required.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
