We are currently seeking a highly organized and proactive Personal Assistant to join our team at the Korean African Business Centre. The position is available for immediate start.
Position: Personal Assistant
Location: Rivonia close to Rivonia Village Johannesburg
Working Hours: Monday to Friday 08:00 17:00
Salary: R15000 per month

Administrative Support:
Manage and organize the executives schedule including appointments meetings and travel arrangements.
Handle correspondence (emails phone calls etc.) and ensure timely responses.
Prepare reports presentations and other documents as required.
Calendar & Schedule Management:
Schedule and prioritize meetings ensuring no conflicts and that all necessary preparations are made.
Coordinate meetings and events including venue booking equipment setup and catering if needed.
Track deadlines and ensure timely follow-ups on action items.
Document Management:
Organize and maintain files and documents both physical and digital ensuring easy access and confidentiality.
Draft proofread and send out emails letters and memos.
Process and handle confidential information with discretion.
Client and Vendor Liaison:
Serve as a point of contact for clients vendors and other external partners.
Handle inquiries requests and ensure seamless communication between the executive and external parties.
Maintain positive relationships with clients and vendors through excellent communication and follow-up.
Office Management:
Oversee office supplies inventory and other operational aspects of the office.
Manage office equipment and coordinate any maintenance or repairs as needed.
Financial Administration:
Process and track expenses invoices and other financial documents.
Prepare reports for budget tracking and approval.
Coordinate with finance teams to ensure accurate billing and payment processing.
Personal Assistance:
Provide personal support for the executive as needed such as running errands managing appointments or assisting with personal projects.
Ensure that the executives personal commitments and tasks are managed effectively.
Confidentiality and Discretion:
Handle sensitive information with the highest level of confidentiality and professionalism.
Act as a trusted advisor and represent the executive in a professional manner.
Problem-Solving & Flexibility:
Proactively anticipate needs and issues finding solutions and taking necessary action.
Be adaptable and responsive to last-minute changes or urgent requests.
Technology & Systems Management:
Use office software and communication tools (e.g. Microsoft Office Google Suite project management software) efficiently.
Maintain organization of digital files emails and other communication platforms.
Educational Requirements:
A high school diploma or equivalent is required. A degree or diploma in business administration management or a related field is preferred.
Additional certifications in office management project management or other relevant areas are a plus.
Proven Experience in Administrative Support:
Experience supporting executives senior management or business owners is highly preferred.
Office and Office Systems Management:
Proficiency in office software and tools (Microsoft Office Suite Google Workspace etc.).
Familiarity with office equipment and technology (phones printers video conferencing tools).
Calendar & Schedule Management:
Ability to prioritize and manage multiple appointments and meetings simultaneously.
Communication Skills:
Excellent verbal and written communication skills including the ability to draft professional emails and documents.
Experience in acting as a liaison between different departments clients and vendors.
Ability to handle phone calls and emails promptly and professionally.
Discretion and Confidentiality:
Proven experience in handling sensitive and confidential information with discretion.
Ability to maintain confidentiality and act with integrity when dealing with sensitive matters.
Problem-Solving and Flexibility:
Experience in troubleshooting and resolving issues independently.
Ability to adapt quickly to changing priorities or last-minute changes to schedules.
Technology Proficiency:
Experience using communication platforms like Zoom Microsoft Teams or Google Meet.
Customer Service and Client Relations:
Experience in client-facing roles or maintaining professional relationships with external contacts.
Excellent interpersonal skills with the ability to work well with a diverse group of people.
Multi-Tasking and Time Management:
Ability to handle multiple tasks and priorities simultaneously ensuring all deadlines are met.
Strong organizational skills and attention to detail.
