Job Description

Academic Advisors help students explore their interests values and skills to determine a best fit for their major and future career. Assist all students who desire assistance in choosing a major and identifying a future career direction. Advisors also advise first year Exploratory students and assisting them in successfully exploring majors selecting a degree plan and matriculating to their degree granting colleges.

Primary duties include but are not limited to:

Advising Exploratory students in exploring and choosing their academic major(s) planning their degree program(s) and identifying potential career paths

  • Discussing career opportunities preparation for graduate or professional school internship opportunities
  • Interpreting state university college and major policies and procedures
  • Conducting individual academic advising appointments for a designated caseload that addresses short term scheduling and long-term degree planning
  • Guiding students in formulating meaningful and appropriate academic plans based on their interests and goals while providing guidance on the general education curriculum degree requirements and academic opportunities
  • Assessing the holistic needs of students providing support and referring to appropriate campus partners
  • Utilizing sound equity and inclusion practices to develop a rapport of trust with assigned students
  • Evaluating updating and securely maintaining student and advising records
  • Processing academic forms
  • Reviewing mid-term grade reports and proactively addressing academic challenges
  • Meeting with students on Academic Probation & Reinstatement to develop their academic success plans
  • Conducting proactive outreach to encourage timely advising appointments registration and the completion of tasks that lead to degree progress

    Providing students with major and career exploration coaching and support

  • Providing individualized coaching focused on interests goals and situation
  • Offering online and in-office career assessments and interpreting assessment outcomes
  • Providing tailored support for special populations of students including retention outreach students Business contract students and Pre-Health students
  • Assisting with department event planning/coordination and participation in campus recruitment events
  • Providing seminars and presentations to various student and stakeholder groups and organizations
  • Promoting department and college resources and services
  • Additional Department Duties may include but are not limited to -
  • Engaging in and successfully graduating from the Academic Advisor Training Program
  • Demonstrating timely responsiveness to communications via phone Zoom and email
  • Managing administrative tasks associated with preparing and completing academic advising sessions
  • Advising transfer students regarding transfer articulation review course equivalencies and assist with course planning and degree completion
  • Participating in institutional retention and completion initiatives
  • Meeting with prospective students and assist with programming for college recruitment and orientation events
  • Engaging with the academic advising community and campus partners through regular meetings and professional development opportunities
  • Developing and maintaining professional relationships with individuals in other academic and administrative departments
  • Teaching department courses (dependent upon experience and possession of a masters degree)

Primary work hours will be Mondays-Fridays 8am-5pm. After the successful applicant appropriately adjusts to their new position there is the possibility of flexible hours and remote work with supervisor and department approval. There will be occasional evening/weekend work with advance notice.

Required Education: Bachelors Degree

Skills:

  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office to include Outlook Word Excel PowerPoint and ability to navigate and maintain databases
  • Skilled in communicating well and building rapport quickly with students faculty and staff
  • Detail oriented for accuracy of data and information
  • Highly organized and ability to handle multiple projects and deadlines
  • Demonstrates ability to learn interpret and articulate complex policies and procedures

  • Willingness to work independently collaboratively and under supervision
  • Committed to maintaining confidentiality and securing sensitive information
  • Ability to represent the unit effectively on college and university committees

Certifications: None.

Advertised Physical Requirements:

  • Physical: Sitting for long periods of effectively. Ability to engage in repetitive motion.
  • Environmental: Standard office exposure to pressure caused by deadlines and busy periods. Ability to work effectively with a wide range of contact with other departments and university officials.

Departmental Preferences:

  • Masters degree

  • Minimum two years academic advising experience

  • Counseling/Coaching experience

  • Minimum one year teaching experience

  • Knowledge of OU programs

  • Strong verbal and written communication skills

  • Highly organized able to handle multiple projects and deadlines

  • Demonstrated ability to learn interpret and articulate policies and procedures

  • Demonstrated ability to work independently collaboratively and under supervision
