Job Description

Overview

Group 1 Automotive Inc. an international Fortune 250 automotive retailer and a leading operator in the automotive retail industry is seeking an Executive Administrative Assistant. Group 1 Automotive owns and operates automotive dealerships and collision centers in the United States and United Kingdom. The Executive Administrative Assistant provides high-level administrative and operational support to the Chief Human Resources Officer (CHRO) and members of the HR Leadership Team. This role is pivotal in enabling team effectiveness by managing critical day-to-day operations ensuring clarity and organization and supporting strategic initiatives across the function.

The successful candidate brings professionalism sound judgment and strong organizational capability with the ability to operate independently and anticipate the needs of multiple senior stakeholders. This individual is a key partner in helping the HR team stay focused connected and alignedcreating structure maintaining accountability and supporting cross-functional coordination.

*This position will be on site on Monday - Friday.

Responsibilities

  • Manage complex calendars coordinate meetings and travel arrangements and process expense reports for the CHRO and HR Leadership Team.
  • Serve as the point of coordination for team logistics communications and project timelines ensuring clarity and follow-through on key priorities.
  • Prepare and edit materials for executive and board-level presentations team meetings and strategic reviews.
  • Monitor deadlines and deliverables across the HR portfolio providing reminders and updates to keep initiatives on track.
  • Support planning and logistics for offsites HR leadership meetings and special projects.
  • Maintain organized systems for managing documents workflows and confidential information.
  • Handle sensitive matters with discretion and professionalism serving as a trusted representative of the CHRO and HR leadership.
  • Proactively identify opportunities to improve administrative processes and support overall team effectiveness.

Qualifications

  • Bachelors degree in business administration Human Resources Management or equivalent experience.
  • Minimum of 5 years of experience supporting senior or executive leaders in a fast-paced corporate environment.
  • Strong organizational and time management skills with demonstrated ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills; able to draft clear correspondence and professional presentations.
  • High level of discretion professionalism and sound judgment in handling confidential information.
  • Proactive resourceful and able to anticipate needs and resolve issues independently.
  • Advanced proficiency in Microsoft Office (Outlook PowerPoint Word Excel); familiarity with collaboration tools (e.g. Teams Zoom Concur) preferred.
  • Ability to build strong working relationships across all levels of the organization.
