Description

The Future Students Coordinator Programs & Events works as an integral member of the Future Students team under the direction of the Manager Student Recruitment and oversees all on campus events and programs for the Future Students team. The coordinator plays a lead role by planning implementing and analyzing campus-based recruitment events and activities which includes the supervision of Student Ambassadors and Co-op students involved in recruitment event planning work. The coordinator ensures that all visitors to campus receive a rich campus experience through centrally coordinated events and by supporting and enhancing the collective recruitment efforts of TRU campus partners. As the coordinator of programs this role liaises extensively with our external partners in local school districts to develop and enhance dual credit and campus visit programs. This position supports the broader recruitment team by recruiting prospective students through online and in person activity.


MAJOR DUTIES & RESPONSIBILITIES

  1. Cultivates and maintains relationships with campus stakeholders (Deans Associate Deans Marketing & Communications members of the Recruitment Working Group etc.).
  2. Attends meetings and committees (TRU Recruitment Working Group) as appropriate to catalogue and support recruitment activities with other campus units.
  3. Provides leadership and supervision of Future Student Ambassadors Co-op students work study and event volunteers. This includes hiring overseeing training planning assigning and checking work (as it relates to recruitment events and programs) providing feedback making recommendations for training and development provides input in the preparation of evaluations.
  4. Designs and implements initiatives to increase the number of prospective students visiting TRU from within and outside of the local area.
  5. Customizes electronic content for targeted audiences updates recruitment materials and publications conducts research maintains prospect and counsellor contact lists writes communications and develops presentations. This involves working with various internal stakeholders (i.e. Admissions Academic Advising Marketing-Communications Faculty offices etc.).
  6. Coordinates and oversees events at TRU that focus on effective recruitment conversion and stakeholder relationship building including Spring and Fall Open Houses and the TRU Campus Tour program.
  7. Manages the scheduling and confirming large student group and counsellor visits and advisory groups making group travel arrangements booking TRU presentation space establish and manage guest lists workflow and budget for all events scheduling faculty or other presenters communicating through appropriate marketing channels developing invitation and guest lists issuing invitations accepting and recording replies/registrations creating event itinerary and content and coordinating the work of others.
  8. Coordinates the involvement of internal service providers including but not limited to marketing and communications media services facilities janitorial security campus food services and conference services to deliver requirements for events.
  9. Conducts appropriate follow-up through contacts made with prospective students and educators during on campus visits. Evaluates the outcomes of various recruiting events prepares reports in a timely manner and makes recommendations for changes or improvements to the Manager. Reports to the Manager on such matters as observations of market trends and competitors activities.
  10. Inputs tracks compiles and reports statistical information on recruitment initiatives and provides feedback on recruitment activities and student interest.
  11. Complies organizes and processes sensitive student prospect data through the FSO CRM to identify conversion as it relates to recruitment events and programs. Generates reports for patterns and prospect funnel trends.
  12. Alongside the Student Recruitment Coordinators (Systems & Communications and Recruitment) develops and manages prospect student communications in the CRM and social media for the FSO team. This includes writing and creating content. Communication may be email SMS or social media messaging.
  13. Facilitates dual credit programs such as TRU Start alongside admissions systems and district partners.
  14. Performs duties as a Future Student Advisor as required.

Requirements

EDUCATION:

  • A four-year baccalaureate degree


EXPERIENCE:

  • 3 years related work experience in a post-secondary environment or similar educational environment where public speaking and/or group facilitation were part of the responsibilities.
  • Experience in marketing and/or event management
  • Experience in post-secondary recruitment admissions or advising


SKILLS KNOWLEDGE OR ABILITIES RELATED TO THE JOB

  • Ability to exercise a high level of creativity and initiative
  • Ability to lead team initiatives coordinate the work of others and the ability to facilitate training and coaching
  • Demonstrated ability in conducting effective presentations
  • Demonstrated ability with event planning
  • Demonstrated ability to plan organize and prioritize work while managing multiple priorities to meet deadlines
  • Ability to communicate effectively to a culturally divers audience verbally and in writing
  • Ability to deal courteously and tactfully in person or digitally with students parents campus partners and stakeholders contractors and the general public
  • Adept at working effectively in teams with members possessing diverse skill sets experience and ways of working
  • Demonstrated ability to use Microsoft Office products (Word PowerPoint Excel) relational databases (i.e. CRM Banner) and social media platforms
  • Knowledge of university academic policies admission requirements and program information
  • Ability to work with minimal supervision and remain focused on meeting departmental objectives
  • Ability to travel independently for extended periods of time by road and air travel
  • Valid Class 5 BC Drivers license with no restrictions that would prevent incumbent from required travel
  • Ability to coordinate office workload complete and coordinate necessary planning and communication task when travelling

  • Standing for long periods of time on concrete floors during education/career fair events
