About the Work Unit
This work unit exists to provide professional administrative support to the Colorado State Patrol (CSP) troop or section as assigned.
Work Environment
In the role of office manager works independently with little or no supervision to resolve issues. Represents the State Patrol in interactions with the public in person over the phone and through written correspondence. Provides excellent customer service through prompt and accurate responses to public inquiries.Oversees and ensures that office administration functions of the business unit to which assigned are effectively carried out. Performs technical complex and or specialized office support work which requires the exercise of independent judgment the application of various technical skills and detailed knowledge of the activities and procedures specific to the unit. Serves as notary public as needed. Acts as a liaison between the business unit and external partners other staff and field units for information sharing. Manages unit records and files maintaining compliance with all retention requirements.
Responsible for the upload of agency law enforcement records and/or for responding to requests from district attorney office throughout the state as needed. Responsible for the CARS system if so assigned to generate monthly utilization reports along with monthly maintenance reports on all vehicles assigned to the business unit. Coordinates with the various supervisors to assure vehicles are scheduled for maintenance as necessary. Ensure NIBRS entries are entered in a timely manner. Communicates appropriately with members internal and external partners using any available format. Writes necessary reports that are complete accurate appropriate and timely. Demonstrates an awareness of the cultural diversity of the community.
Prepares and manages the unit budget(s) in conjunction with the troop or section commander. Manages monitors and provides reporting on or support for grant awards as needed. Ensures adherence to state fiscal rules and maintains a precise accounting of all budget allocations made to the unit. Periodically reviews the unit budget makes expenditures when necessary and with the approval of the section commander(s) and ensures that all expenditures are reconciled on a monthly basis. Reviews all financial transactions for completeness and accuracy using system software (CORE).
Ensures the commander(s) is kept informed of all budgetary issues in a timely manner and obtains prior approval before making expenditures. Monitors expenditures to ensure that they do not exceed existing budget allocations. Coordinates all travel arrangements for the business unit as requested. Ensures the proper use of any state-issued credit card(s) within the business unit. Maintains adequate supplies/equipment to facilitate day-to-day operations in the unit. Initiates and completes the majority of all purchasing requests vouchers and documents.
Assists troop and section Commanders as needed with projects of various complexity. Completes projects on-schedule and ensures a high margin of accuracy and attention to detail. Projects may include but are not limited to: troop special event management CDOT projects special project overtime management etc.

Four (4) years of general office administrative and/or program support experience supporting an individual or team.
OR
A combination of related education and/or general office administrative and/or program support experience equal to four (4) years.If education is substituted for work experience an unofficial transcript of the relevant education must be provided with your application.
Must be Colorado resident at the time of application
Requires successful completion of a background investigation that includes a polygraph exam a fingerprint based criminal history search drug testing.
