Position Title: Project Manager and Business Case Tool (BCT) Admin

Job Summary:

In 2023 HSBC introduced a new HSBC owned platform to model their real estate business cases in Appian called BCT (Business Case Tool). The BCT team is formed by a Project Lead (HSBC) a Project Manager/Admin and a Senior Business analyst. BCT team interfaces with a team of IT developers based in India daily for fixes and improvements. Additionally BCT team manages internal (HSBC) and external (C&W CBRE) stakeholders and users.

Role Purpose:

The purpose of the role is to act as a focal point of contact for users and key stakeholders for BCT. Advocates for a great user experience and the continuous improvement of the tool. This role oversees projects and reports to the Project Lead.

Key Responsibilities:

Project Management Responsibilities

1. Manage project plans and timelines.

Keep track and monitor major BCT project items description of work their status and anticipated deadlines. Manage resources and priorities (in consultation with) during Backlog refinement or Retro planning sessions with IT developers.

Ensure BCT Governance process is observed by the users. Provide a tracker of BCT updates request and present them at bi-weekly BCT Champions meeting.

2. Update Jira board.

The project plan management is also done through updating the Jira board by uploading stories from the Business Analyst writing own stories (not related to calculations and major tool logic and user experience) putting placeholders to keep track of the items discussed but not yet finalised as a user story.

To keep better track of the stories and add structure to the workload epics are created and linked to stories with similar or related topics.

3. Test User Stories in Preparation for the Releases.

Work closely with the development team in preparation for the releases:

< >Prepare stories tracker and share it with the Business Analyst and Development Team. The tracker contains the list and summary of stories in the current sprint that require testing. The testing results are tracked for the 3 environments SIT UAT and testing of the user stories prior to the release in the 3 environments - SIT UAT and -off the releases and approve Change Requests if no observations are made.

4. Facilitate Meetings with the Project Development Teams and Users.

The PM insures there are regular sessions happening within the project team between project and development teams (within Agile framework Scrums Retrospective Sprint Planning Backlog Refinement) and between users and the project team (in the form of drop-in sessions). Make sure any requirements mentioned by the development team are fulfilled by the project team and vice versa. Any ad hoc meeting with the relevant stakeholders or the users (for example training sessions) are also issued by the PM.

5. Send Out Communications to the Users.

Prepare and sent out communication about the BCT releases.

6. Address User Feedback. Stakeholders management

Provide ongoing support to the users with the queries address any issues by directing them to the developers where required.

Business Case Tool (BCT) Admin Tasks

1. Maintain User List and Approval Matrix

a) Admin is required to maintain the Approval matrix up-to-date based on the DoA limits shared by the Chief of Staff any changes in the current users and any logic implemented by the development.

b) Admin is responsible for managing HSBC users and suppliers users access.

c) Admin is responsible for updating User Country Mapping add or remove users upon the Regions requests as well as perform Annual Recertification process. For adding and removing users please see Appendix I. All new users need to fill out BCT User Access Form (see attached to this file).

Annual Recertification is a process whereby Regions confirm whether the current list of users have mapping in the tool is 2024 it was done by sharing the lists with the Region Heads however the process is planned to be automated for HSBC users: a notification will be sent to line managers asking to confirm whether access to the Tool is required or not. For external users the process will still be manual.

d) Admin is responsible for raising Service Now requests to engage with IT developers to fix urgent issues.

2. Upload Flat Files from Golden Sources.

Admin is responsible for uploading flat files from various golden sources on a regular basis and test it before release.

Knowledge & Experience:

3 to 5 years of experience in a similar role including:

- Project management or coordination in a tech-enables environment

- Working with development teams and business analysts

- Administering tools and managing user access

- Supporting internal and external stakeholders
