Job Description

Position Title: Lead Training CMA Coordinator
Department: CMA Operations and Communications
Reports to: Director of CMA Operations and Communications
FLSA: Non-exempt
Supervisor Responsibilities: N/A
Starting Range: $25.47 - $26.45 hourly (Rates reflect FY25-26 and are subject to change. Contact to confirm current rates.)

General Description:

The Lead Training CMA Coordinator plays a critical role in training and mentoring a team of coordinators across the Case Management Agency (CMA). This position maintains a small caseload while serving as a subject matter expert in all Medicaid Waivers including Childrens Waivers IDD and Non-IDD programs. The Lead supports Supervisors in enhancing team performance compliance and quality service delivery. Responsibilities include training onboarding coaching and assisting in statewide and internal change implementations.

This position requires comprehensive knowledge in waiver enrollment intake ongoing case management benefits coordination billing and Prior Authorization Requests (PARs). The Lead Training Coordinator helps foster a culture of collaboration professionalism and family-centered care across the CMA.

Please note: Waiver regulations eligibility criteria and funding may change in response to state or federal updates. Coordinators must stay informed adaptable and able to guide others through these changes.

Essential Duties and Responsibilities:

  • Maintain a reduced caseload to stay grounded in case management responsibilities and system requirements.
  • Provide mentorship and technical support to new and existing CMA Coordinators.
  • Be highly skilled with providing extensive hands-on on-the-job training of day-to-day tasks staff will be encountering.
  • Responsible for collaborating with the Learning and Development team to keep training tools up to date and centralized in one location.
  • Facilitate onboarding shadowing and training experiences to ensure staff meet performance expectations.
  • Train and support staff on Medicaid Waivers including CES CHRP CHCBS SLS DD EBD and State Plan services.
  • Be well-versed in multiple areas of case management to promote cross-team training.
  • Guide staff through processes related to enrollment intake case planning benefits navigation billing and PAR submissions.
  • Stay current with HCPF policies state system updates and TRE standards.
  • Deliver accurate timely communication and training to help staff adapt to policy or procedural changes.
  • Facilitate or co-facilitate workgroups learning labs and case consultations.
  • Document accurately in all systems including Care and Case Management (CCM) Bridge and other platforms.
  • Collaborate with Supervisors and Managers to identify team training needs and coordinate action plans.

Additional Responsibilities:

  • Provide temporary caseload coverage as needed for team stability as it pertains to training new hires on their caseload
  • Assist with staff scheduling technical troubleshooting and documentation reviews.
  • Participate in internal audits quality improvement efforts and implementation of new workflows.
  • Actively engage in TREs internal professional development model using Predictive Index and coaching.
  • Provide transition support for individuals moving between waivers or age-based programs.
  • Support statewide efforts and workgroups related to case management redesign and system transformation.

Other Duties and Responsibilities:

  • Respond flexibly to emergent team needs policy changes or crises.
  • Model and promote TREs values of respect inclusion and person-centered care.
  • Represent the CMA professionally during internal and external meetings.
  • Perform other related duties as assigned.

Job Qualifications:

Knowledge Skills and Abilities:

  • Extensive knowledge of Medicaid Waivers including IDD Non-IDD and Childrens Waivers and state plan benefits
  • Strong understanding of intake enrollment benefits ongoing coordination billing and PARs.
  • Ability to lead and support others through training coaching and collaboration.
  • Familiarity with learning styles and adaptability to efficiently train new staff.
  • Clear communication skills ability to be agile to support new hires through transitions and new processes and a collaborative spirit.
  • Excellent communication organization and decision-making skills.
  • Culturally competent and skilled in relationship-building with diverse individuals.
  • Proficient in documentation systems and state platforms (CCM Bridge etc.).
  • Skilled in using Microsoft 365 and cloud-based systems.

Education and Experience Requirements:

  • Minimum: Bachelors degree or equivalent experience in Human Services Case Management Social Work or related field.
  • Preferred: Two or more years experience in case management or Medicaid Waiver coordination including training or mentoring responsibilities.

Material and Equipment Directly Used: Computers/tablets Printers Copy Machines Personal Vehicle Cell phones/telephone Cloud based systems and software etc.

Working Environment/Physical Activities:This is a hybrid position with work locations determined by both client and organizational needs. Work may take place in a variety of settings including office environments community locations private residences commercial properties and virtual platforms. The role requires moderate physical activity such as walking sitting standing and lifting up to 20 pounds.

A reliable vehicle valid Colorado drivers license (unless part of an active military family) and proof of insurance with minimum preferred liability coverage of $100000/$300000/$100000
