Job Description

To capitalize on this incredible growth and to achieve Visit Salt Lakes ambitious vision were seeking a detail-oriented and proactive Executive Assistant to the CFO & Operations Admin to contribute to the smooth functioning of both the finance and operations within Visit Salt Lake. This position is ideal for someone looking to launch or grow their career in nonprofit finance or organizational operations. The successful candidate will be tech-savvy highly organized and comfortable managing a diverse range of tasks from administrative support to logistical coordination.

Primary Responsibilities:

Executive Support to CFO

  • Manage the CFOs calendar schedule meetings coordinate logistics and handle travel arrangements
  • Take detailed notes during meetings and ensure timely follow-up on action items
  • Assist with document preparation filing and special projects
  • Maintain confidentiality of sensitive financial and organizational information

Finance Department Support

  • Assist with basic financial recordkeeping and document organization
  • Reconcile financial records and reports
  • Maintain and update digital and physical filing systems for financial records
  • Support budget tracking and financial report preparation as needed

Operations & Administrative Support

  • Act as primary liaison with outsourced IT service provider & employees logging tickets tracking progress and escalating issues when necessary
  • Manage inventory and procurement of office and IT supplies including cataloguing and maintaining supply levels
  • Coordinate operational projects such as office repairs equipment installations and facility maintenance
  • Ensure timely and organized communication and documentation of operational matters
  • Any other duties as assigned

Qualifications:

  • Associates degree in business accounting finance or related field; or at least 1 year of relevant work experience
  • Proficient in Microsoft Office 365 especially Excel Outlook and Word
  • Excellent organizational and communication skills
  • Strong attention to detail and ability to manage multiple priorities
  • Independent professional who can adapt to multiple situations and is comfortable wearing many hats
  • Team-oriented with a customer service mindset.
