Job Description
Summary/objective
To provide administrative and organizational support to the Director of Instruction and Medical Programs ensuring the smooth operation and effective management of educational initiatives at Great Plains Technology Center. This role contributes to the achievement of the centers vision mission and goals by facilitating medical program enrollment communication maintaining essential records and supporting accreditation and compliance efforts.
Essential functions
- Facilitate the enrollment and slotting process and documentation needed for medical programs
- Provide exceptional customer service for the Medical Building and programs.
- Answer telephone deliver messages throughout building locate personnel and/or students in clinical to relay messages.
- Respond to e-mails from the public in reference to program inquiries.
- Management of Temporary Interrupts by students.
- Maintain confidentiality with student records.
- Accreditation Assist directors or coordinators with each programs accreditation.
- Clinical Agreements - Review and update all current clinical agreements for each medical career program on an annual basis.
- Liability Insurance Update and maintain all current liability insurances for medical programs.
- Program Calendars Review and update program calendars annually.
- Applicant packet Process and assist in slotting of students for medical programs.
- Student files Maintain student files with all required information.
- Prepare and conduct mandatory incoming student program meetings.
- Process all drug screens for health career seated applicants.
- Process all background checks on slotted health career students.
- Immunizations Maintain database on all adult health career program students and instructors (except for Nurse Asst. program) for immunizations and CPR.
- Clinical Education Settings Verifies student data for Clinical sites.
- Financial Billing - Responsible for maintaining tuition charges and fees for Medical Programs.
- Process appropriate paperwork for student termination or withdrawal:
- Create and update application booklets for medical programs.
- Assist with creating purchase orders for the medical programs and the Director of Instruction
- Maintain medical program handbooks
- Assist in ordering books and supplies for programs supervised by Director of Instruction
- Assist School Nurse as needed

- Computer Skills: Possess intermediate computer skills and be proficient in Microsoft Word Outlook and Excel.

Work environment
The Medical Building Secretary typically works in an office environment but the mission of the school may require work in other settings. A standard workweek is required but this position may also require evening or weekend hours.
Physical demands
While performing the duties of this job the employee is frequently required to remain stationary move/position objects move about their office building and/or across campus respond to emergency situations and communicate with staff parents and students. Employee may be required to perform extensive work at a computer display terminal.
Travel required
Occasional travel within and outside of the Great Plains Technology Center district may be required for sponsorship of student activities professional development and participation in other Great Plains Technology Center activities.
Required education and experience
- High school diploma or GED
- Two years experience and/or education in the clerical field
