Work Model: Hybrid (3 days onsite / 2 days remote after onboarding)

Responsibilities:
Prepare proofread revise profile and save correspondence and document drafts.
Manage client billing activities including time entry proofreading modifying and sending invoices.
Provide administrative support to a practice group of six attorneys one paralegal and two legal assistants.
Open new files in Aderant and Foundation IP.
Prepare send and save Engagement Letters for new clients.
Scan incoming mail and distribute to attorneys.
Save attorney e-mails into NetDocs.
Assist in preparing formal documents such as Application Data Sheets IDSs Declarations Powers of Attorney Assignments Issue Fee Transmittals and transmittal letters.
Send docket-filed reporting e-mails and assist with reminders.
Provide docket report and Foundation IP updates to attorneys.
Process wire/check requests and expense reports; route invoices to Accounting.
Assist with USPTO filings.
Qualifications:
Education: Associate degree High School Diploma GED or relevant industry certifications.
Required Skills:
Organization & Multitasking: Manage multiple priorities in a fast-paced environment.
Attention to Detail: Accuracy in proofreading filing and meeting deadlines.
Communication: Strong written and verbal skills for working with attorneys clients and external contacts.
Legal Knowledge: Familiarity with legal terminology court systems and document requirements.
Technical Proficiency: Skilled in Microsoft Office Suite case management systems e-filing platforms document management tools and office equipment.
Professionalism: Maintain confidentiality of sensitive client and case information.
Problem-Solving: Anticipate attorneys needs and proactively address issues.
Hybrid Work Model:
Standard schedule: 3 days onsite / 2 days remote (subject to performance and eligibility).
Onboarding period: 4 6 weeks fully onsite.
