Job Description

This is a remote position.

Schedule: Monday to Friday 9:00 AM 6:00 PM (1-hour unpaid break; flexibility may be negotiated as required)
Client Timezone: Australia (Sydney-based working with Asian markets)
Total Weekly Hours: 40 Hours


Our client is a boutique marketing and communications consultancy focused on health wellbeing lifestyle nutrition and purpose-driven initiatives. With a strong presence in the Asia-Pacific market they are dedicated to delivering outstanding results and fostering a collaborative transparent team culture.

They are seeking a highly organised and proactive Executive Assistant to support the CEO and help ensure smooth business operations.

The EA will manage the CEO s schedule business activities and selected personal tasks while also assisting with agency operations HR processes and event coordination. The ideal candidate is detail-oriented discreet and able to juggle multiple priorities in a fast-paced environment with strong emotional intelligence and the ability to anticipate needs.


Key Responsibilities

Diary & Administration

  • Proactively manage the CEO s complex calendar across multiple time zones scheduling internal and external meetings ensuring all links briefs and materials are prepared in advance.

  • Monitor upcoming commitments provide timely reminders and prepare relevant documentation.

  • Screen prioritise and respond to communications on behalf of the CEO as required.

  • Utilise AI tools (e.g. scheduling assistants drafting tools data summarisation tools) to improve efficiency and output quality.

Travel Management

  • Coordinate domestic and international travel including flights accommodation transfers visas and itineraries.

  • Prepare detailed travel packs and provide support during travel periods.

Agency & Client Event Support

  • Assist in planning organising and executing agency and client events including logistics registrations RSVP management and onsite coordination.

Human Resources Support

  • Prepare and manage HR documents such as employment contracts onboarding materials and confidentiality agreements.

  • Maintain confidential personnel files and HR databases.

CEO Personal Support

  • Handle ad hoc personal errands and tasks for the CEO.

  • Source and prepare gifts for clients stakeholders and team members.

Culture & Team Support

  • Manage the team birthday and anniversary program including sourcing and organising gifts or celebrations.

  • Support training programs and other internal initiatives such as AI rollout.

  • Coordinate team engagement activities throughout the year.

Skills & Experience

  • 5 years experience as an Executive Assistant Personal Assistant or Office Manager supporting senior leaders or C-suite executives.

  • Background in marketing PR creative or consultancy sectors preferred.

  • Highly organised adaptable and solutions-focused with the ability to manage shifting priorities.

  • Strong written and verbal communication skills.

  • High level of discretion confidentiality and trustworthiness.

  • Proficiency in Microsoft Office Suite Zoom Teams and calendar management tools; tech-savvy and open to learning new platforms.

  • Flexibility to adjust working hours to support international travel and events.

  • High emotional intelligence and team-oriented mindset.
