Were seeking a detail-oriented HIMS Support Staff Trainer - PRN to provide centralized records management support to clinical staff and patients. If you have a strong understanding of medical records attention to detail and a passion for patient-centered care wed love to have you on our team!

Key Responsibilities:

Records Management & Documentation

  • Maintain and organize patient records in compliance with Valley-Wide policies and HIPAA guidelines.
  • File documents accurately and efficiently with minimal assistance and errors.
  • Ensure proper categorization and differentiation of documents within the electronic health record system.
  • Work proactively to obtain missing records and ensure complete documentation for patient care.
  • Request and prepare paper charts for electronic conversion as needed.

Data Entry & Electronic Health Record Maintenance

  • Enter laboratory results received from non-interfaced outside entities ensuring provider review and quality assurance.
  • Attach received diagnostic images to the correct patient order in the electronic chart and update order statuses accordingly.
  • Follow up on outstanding lab and diagnostic reports proactively retrieving results from approved facilities.

Patient Records & Release of Information

  • Manage requests for patient record transfers from outside healthcare facilities ensuring proper authorization and compliance.
  • Verify patient identifiers and ensure accurate release of information before transferring records.
  • Update patient status and primary care provider (PCP) information while ensuring proper deactivation of medications and orders per PHI clinical guidelines.
  • Maintain electronic PHI logs of released patient information and generate encounters for billing when appropriate.

Administrative & Communication Support

  • Answer phone calls professionally document required information and assist with patient and provider inquiries.
  • Maintain productivity standards and ensure timely completion of assigned tasks with minimal errors.
  • Provide outstanding customer service to both internal and external stakeholders.
  • Assist HIMS Manager to develop new employee training plans.
  • Assist in the development and updating of end-user HIMS training materials documents job-aids guides videos and workflow diagrams etc.
  • Deliver HIMS department training to new employees as well as training on new features to existing employees
  • Perform individual and group training to the HIMS department
  • Trainings will be done in person other assigned tasks may be able to be performed remotely.
  • Other duties as assigned or approved by HIMS Manager/Director of Risk Management & Compliance.
  • This position requires candidates to have previous Valley-Wide HIMS department experience.

Qualifications & Skills:

Education: High school diploma or GED required.

Technical Skills: Intermediate proficiency in Microsoft Word Excel and Outlook.

Knowledge: Familiarity with medical terminology and HIPAA guidelines.

Soft Skills:

  • Strong attention to detail and ability to manage multiple priorities.
  • Professional communication skills in person and over the phone.
  • Positive attitude enthusiasm for the organizations mission and strong interpersonal skills.
