Full-Time Office Manager / Operations Assistant
Location: Remote Latin America or South Africa preferred
Working Hours: 9 AM 5 PM CST (with some flexibility needed for U.S. business hours)
Monthly Salary: $1400 $1700 USD/month
About the Role
Were hiring a proactive organized and tech-savvy Office Manager / Operations Assistant to support the daily operations of a growing Floor Coverings International franchise based in Nashville TN. Youll work directly with the owner and team to manage incoming leads coordinate appointments and keep internal operations running smoothly.
This is a high-impact role where lead intake and appointment booking is your #1 priority. Youll also play a critical part in supporting marketing performance tracking process documentation and community outreach research. What Youll Be Doing
Lead Intake Scheduling & Customer Communication
- Answer inbound calls texts and voicemails with professionalism and empathy especially when speaking with homeowners or elderly customers
- Convert inbound leads into booked in-home appointments using Salesforce and Salesvoice
- Follow structured outbound workflows (texts and calls) for unbooked leads to maximize conversions
- Monitor platforms like Thumbtack and respond promptly to new inquiries
- Route customer questions to the appropriate team member and track resolutions
- Maintain accurate and up-to-date lead records in Salesforce
Marketing & Lead Source Support
- Track lead sources and help maintain data accuracy in Salesforce and Salesvoice
- Monitor performance across PPC Google LSA and LocalACT dashboards to spot trends
- Rate and review leads in Google LSA to improve visibility and quality scores
- Help coordinate grassroots marketing ideas such as identifying neighborhoods for local mailers or door hangers
- Research local events or networking opportunities for the team (you wont attend but will help us plug in)
Operations Admin & Process Support
- Send thank-you cards using our Cardly system to enhance customer follow-up
- Maintain and improve our internal SOP documentation
- Keep Salesforce and outreach tools clean: merge duplicates update stages and ensure tidy workflows
- Provide light weekly reporting on marketing data and lead trends
Team & Growth Support
- Support outreach to B2B and referral sources (e.g. assisted living facilities contractors restoration companies) through research and outbound assistance
- Help with event planning logistics for local industry shows or community events
- Attend team meetings and collaborate across departments virtually
What Were Looking For
- Fluent in English with confident friendly phone communication and minimal accent
- Based in Latin America or South Africa with reliable internet and a quiet work environment
- Prior experience in customer service appointment setting or inside sales (especially over the phone)
- Strong organizational and follow-up skills nothing slips through the cracks
- Familiarity with CRM tools like Salesforce (strongly preferred)
- Comfortable analyzing light marketing data and supporting operational reporting
- Self-motivated tech-savvy and energized by a fast-moving small business environment
- Available to work full-time during U.S. business hours (9 AM 5 PM CST or equivalent)
Nice to Have
- Experience with home service companies real estate or franchise operations
- Familiarity with platforms like Salesvoice LocalACT ADP or Google LSA
- Interest in marketing outreach and business development support
