A leading transport and logistics provider specialising in dangerous goods distribution is seeking a detail-driven and versatile Operations Coordinator to join their Joburg team. This is a dynamic opportunity for a well-organised professional with a strong background in fleet dispatch driver compliance permit coordination and tracking in a fast-paced logistics environment. The ideal candidate will have a strong grasp of transport scheduling legal compliance and client liaison in the dangerous goods or FMCG logistics sector.
Duties and Responsibilities
Trip Scheduling and Dispatch Coordination
Manage and update trip master files and trip sheets
Prepare all dispatch documentation including loading instructions barcodes and driver briefings
Issue orders for tolls fuel and subsistence
Manage export documentation including pre-clearance communication and document splitting
Monitor monthly loading site requirements (e.g. Natref expiries)
Coordinate with Harare for renewals and maintain training records for driver site access
Conduct monthly permanent seal checks and ensure seal protocol is adhered to
Finalise trips with accurate POD splitting and document control
Maintain Google Sheet tracking system (AJAX) and provide daily fleet and customer updates
Monitor and report route deviations unauthorised stops and maintain Sendem hotspot records
Reconcile monthly documentation with licensing consultants (Pretoria Vervoerkonsultante)
Coordinate registration license renewals and SARS Bonded Goods compliance
Categorise assess and manage approvals for traffic fines
Investigate incidents/accidents and compile detailed reports
Compile monthly fuel and toll budgets with weekly usage updates
Coordinate intercompany and client communications
Assist with load optimisation tolls database updates and route surveys
Participate in WhatsApp groups and daily operational meetings
General IT assistance bank cash collections POD deliveries and ad hoc admin support
Act as designated person for hazardous chemicals
Serve as fire prevention coordinator and qualified loading/offloading supervisor for dangerous goods
Responsible for accident investigation and compliance documentation
Minimum Requirements
35 years experience in logistics coordination transport dispatch or fleet control
Prior exposure to dangerous goods or FMCG logistics preferred
Strong knowledge of vehicle permits licensing and bonded goods regulations
Hands-on experience with route planning tracking software and fleet monitoring
Strong computer literacy Microsoft Excel Google Sheets Outlook
Excellent organisational communication and problem-solving skills
Ability to manage pressure and meet tight deadlines in a fast-paced environment
Valid drivers licence
