Duties and Responsibilities (*denotes essential functions):


  • *Serve as the Special Projects and Operations Archivist having responsibility for the extramural grant deliverables and coordination of the operational activities of Uluulu: The Henry Kuualoha Giugni Moving Image Archive of Hawaii.
  • *Oversee Special Projects digitizing efforts including work with specialized preservation labs and vendors preparing shipments of archival material and performing quality control on digital video preservation and access files.
  • *Oversee Special Projects cataloging efforts including performing descriptive and technical metadata entry into content management database.
  • *Assist the Head Archivist in the hiring supervision and training of project assistants.
  • *Assist the Head Archivist in overseeing and assessing all phases of extramural grant award and closing which include monthly budget tracking purchasing historical expenditure data and budget reconciliations and balances for the grant.
  • *Work with the Head Archivist to execute grant closeout as necessary by compiling required documentation of work and preparing the administrative and fiscal requirements for reporting.
  • *Support the management of daily operations to include but not limited to reviewing and processing of fiscal and personnel transactions as assigned maintaining and ordering office and archival supplies communication with building facilities staff and communication with UHWO administration.
  • *Act on behalf of Head Archivist on fiscal personnel and program matters as assigned or in their absence.
  • Attend and present at national professional archival conferences and workshops about archival projects in order to keep abreast of industry standards and their application to Uluulu.
  • Maintain and implement standard procedures for digital preservation access long-term storage requirements copyrights metadata collection and development of a web-based virtual environment according to archival industry best practices.
  • Compile monthly and annual statistics analyze results and run reports related to digital archival projects.
  • Provide specialized information services including reference and research consultation and professional presentations to students faculty and members of the community.
  • Other duties as assigned.


Minimum Qualifications:


  1. Possession of a baccalaureate degree in Arts and Sciences with major coursework related to library and information science creative media and/or film and three (3) years of progressively responsible professional experience with responsibilities for archival activities in an academic library or archival setting; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  2. Considerable working knowledge of principles practices and techniques in the area of moving image archiving and preservation as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts principles and methodologies.
  3. Considerable working knowledge and understanding of applicable federal and state laws rules regulations and theories and systems associated with archival activities in an academic library or archival setting.
  4. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective innovative and timely manner.
  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing verbally and by preparation of reports and other materials.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team leaders and members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing software.
  8. Demonstrated ability to lead subordinates manage work priorities and projects and manage employee relations.


Supplemental Minimum Qualifications:


  1. Experience in drafting grants applications and proposals and grants management.
  2. Knowledge of the film and video production process and materials associated with production.
  3. Knowledge of Hawaiian media history culture and language.
  4. Experience with handling inspection and identification of various film formats (e.g. 8mm Super8 16mm 35mm) and videotape formats in a wide variety of obsolete playback systems (e.g. 2 Quad 1 3/4 Umatic Betacam SP).
  5. Experience with Recollect media asset management software or other similar content management system.
  6. Ability to manage multiple projects simultaneously.
  7. Evidence of strong critical thinking skills.
  8. Experience in a collaborative and collegial setting.
  9. Productive attitude and enthusiasm for an innovative and changing environment.


Desirable Qualifications:


  1. Masters degree in Library and Information Sciences.
  2. Experience with ClimateNotebook or other environmental analysis software.
  3. Experience with Augusta ADA Aegisub or other voice-to-text and captioning software.
  4. Knowledge of digital video and audio file formats.
  5. Ability to lift 20-30 pound boxes.
