Job Description

The NBI and Conflicts Manager is responsible for understanding and overseeing the Conflicts and New Business Intake (NBI) operations. This role combines leadership responsibilities with active participation in daily intake and conflicts tasks ensuring the accuracy timeliness and compliance of all client and matter entries across the firm. This includes reviewing new business that is generated firm-wide in support of the firms risk management need and performing thorough and accurate conflict of interest searches on new business and lateral attorney hiring. Along with conflicts of interest checks the position is responsible for contributing to the NBI and Matter Maintenance functions which include review of new matters updates to matters and database quality assurance. The manager collaborates closely with attorneys business professionals and firm leadership to promote best practices.

Primary Duties:

Leadership and Oversight

  • Lead supervise and train a team of Conflicts and Intake Specialists.
  • Monitor team inboxes and workloads; reassign tasks as needed to ensure efficient turnaround.
  • Conduct onboarding and continuing education for team members and attorneys on the Intapp Conflicts and Intake systems.
  • Maintain procedural documentation oversee the team calendar and coordinate on-call coverage.
  • Interview and assist in hiring new team members; approve timecards and manage time-off requests.

Conflicts and Risk Management

  • Perform and oversee conflict of interest searches for new business lateral hires and matter re-openings.
  • Review and analyze conflict reports for potential issues; escalate complex matters to the General Counsel or Ethics Committee.
  • Review existing waivers and consents; manage black book system warnings.
  • Oversee setup and monitoring of ethical screens in Intapp Walls.
  • Maintain and modify system approval roles based on firm policy.
  • Provide guidance on complex searches involving corporate family trees and related entities.
  • Ensure compliance with applicable rules of professional conduct.

New Business Intake and Matter Maintenance

  • Oversee the new client/matter intake process ensuring accuracy completeness and compliance with firm policies.
  • Validate data integrity assist with matter updates and rate approvals.
  • Review intake submissions for adherence to risk management standards (e.g. engagement terms client identity AML/KYC).
  • Respond to Partner and Legal Assistant inquiries regarding all aspects of NBI.
  • Collaborate with finance and billing teams to ensure prompt client setup and invoicing alignment.
  • Maintain standards for database integrity.


Policy and Process Improvement/System Administration

  • Serve as system administrator for Intapp Conflicts and Intake supporting user access and configuration needs.
  • Lead or assist with projects including lateral integration audit requests marketing initiatives and special reporting.
  • Continuously improve processes and workflows to enhance the efficiency and accuracy of intake and conflicts operations
  • Develop and update procedures workflows and protocols for conflicts and intake operations.


Requirements / Qualifications:

  • Bachelors Degree required; JD preferred.
  • Minimum 57 years of experience in conflicts new business intake in a law firm environment with at least 2 years in a supervisory or managerial role.
  • Excellent written and verbal communication skills.
  • Must be able to manage multiple priorities and complete tasks with minimal supervision.
  • The ability to analyze large data sets.
  • Knowledge of Microsoft Office products including Excel.
  • Intapp Conflicts and Intake preferred.
