Job Description

  • Expertly manage and coordinate the Vice-Chancellors diary and events ensuring seamless travel meetings and strategic calendar planning across diverse stakeholders
  • Manage competing priorities with a high degree of discretion and professionalism
  • Fixed-term full-time for 12 months (parental leave backfill) based in Hobart

About the opportunity

The Executive Officer plays a vital role in enabling the Vice-Chancellor to lead effectively by ensuring their time is strategically aligned with the Universitys priorities. Through expert diary management and seamless coordination this role supports the Universitys mission to deliver transformative education and research that benefits Tasmania and beyond.

What youll do:

  • Manage and provide consistent specialised support in the coordination of the Vice-Chancellors diary including travel meeting logistics and event coordination.
  • Provide a strategic overview of the flow of the calendar and apply this to forward planning.
  • Support the diary management of Divisional executives as required.
  • Liaise with multiple stakeholders across internal and external to the University providing a positive interface between the Vice-Chancellor and internal and external communities.
  • Assist with day-to-day operations of the OCVC including booking rooms preparing meeting rooms and basic financial processing.
  • Support the delivery of OCVC lead events including logistics and planning.

What were looking for:

  • Proven relevant experience in providing high level senior executive support including complex diary management.
  • A high level of computer literacy including competence in the Microsoft 365 suite.
  • An understanding of protocols in relation to operating in a senior executive office and demonstrated commitment to maintaining confidentiality using discretion and sound judgement.
  • Excellent interpersonal skills and ability to communicate effectively with a broad range of internal and external stakeholders.
  • Ability to apply a lean approach to ways of working contributing to the improvement of office processes particularly in relation to diary functions.
  • Excellent ability to manage competing and changing priorities and work in an efficient agile flexible and resourceful way performing tasks with a high degree of accuracy.

Salary details

Appointment to this role will be at HEO 6 and will have a total remuneration package of up to $116872 comprising base salary within the range of $92120 to $99891 plus 17% superannuation.
