Company Overview

Kairos Power is a new nuclear energy technology and engineering company whose mission is to enable the worlds transition to clean energy with the ultimate goal to dramatically improve peoples quality of life while protecting the environment. This goal will be accomplished through the commercialization of the fluoride-salt-cooled high-temperature reactor (FHR) that can be deployed with robust safety affordable costs and flexible operation to accommodate the expansion of variable renewables.

Job Summary

Kairos Power is seeking a highly skilled and experienced Administrative Assistant to join our team in Albuquerque NM. The ideal candidate will demonstrate the ability to effectively manage multiple tasks ranging from routine administrative duties to more complex responsibilities. We are looking for someone who is exceptionally organized detail-oriented personable and adaptable. The successful candidate will exhibit patience professionalism and the ability to consistently produce high-quality work under tight deadlines in a fast-paced environment.

Responsibilities

  • Provide comprehensive administrative support to the Kairos team including timely and effective response to employee inquiries and requests.
  • Staff the front desk: greet and assist visitors process check-ins per Kairos visitor policy answer or route calls via the Avaya IP Office SoftConsole receive sort and distribute incoming mail and deliveries.
  • Uphold office security protocols by monitoring lobby activity controlling access to facilities and issuing access badges.
  • Coordinate conference room logistics including room setup catering orders and post-meeting cleanup.
  • Support the planning setup and teardown of social hours and company events (e.g. weekly lunch program) as well as annual corporate events (picnic and anniversary).
  • Assist in management of meeting room schedules including booking cancellation and adjustments.
  • Assist with coordination of group tours of Kairos facilities.
  • Conduct weekly inspections of conference rooms breakrooms workrooms and common areas to ensure cleanliness and adequate supplies.
  • Manage inventory ordering and restocking of office canteen and breakroom supplies (both consumable and non-consumable).
  • Maintain canteen appliances and office printers.
  • Assist in the administration and oversight of administrative financial accounts including the review and approval of invoices.
  • Provide administrative support for the Corporate Housing program including issuing reservation confirmations scheduling cleanings and managing supply inventory.
  • Serve as the point of contact for office service vendors (e.g. janitorial catering supply providers) ensuring timely service and issue resolution.
  • Identify opportunities to improve administrative workflows and recommend or implement solutions.
  • Other administrative duties as required.

Qualifications

  • High school diploma or GED required.
  • Associates degree or Bachelors degree preferred.
  • 5-7 years of direct experience in an administrative support and/or customer service role.
  • Experience in a fast-paced high-growth or startup environment is desirable.
  • Experience managing vendors or external service providers (e.g. office supply catering janitorial) is desirable.

Knowledge Skills & Abilities

  • Customer service attitude.
  • Comfortable learning and using new tools and technologies to streamline administrative functions.
  • Ability to be resourceful and proactive when issues arise.
  • Experience with Mac and Windows products preferred as well as document management systems or cloud storage platforms (e.g. SharePoint Egnyte etc.).
  • Strong knowledge of Microsoft Office Outlook Excel Word PowerPoint.
  • Excellent written and verbal communication skills.
  • Ability to work independently or as part of a team.
  • Ability to work with highly collaborative team.
  • Ability to solve problems quickly and efficiently.
  • Prioritizes and ensures safety of oneself and others.
  • Ability to proactively collect manage and transfer knowledge.
  • Ability to seek different and novel ways to create efficiencies when working on problems challenges and issues.

Physical Demands

  • Remaining in a stationary position for prolonged period.
  • Moving about to accomplish tasks or moving from one worksite to another.
  • Adjusting moving transporting installing positioning or removing objects up to 25 pounds in all directions.
  • Communicating with others to exchange information.

Environmental Conditions

  • General office environment.
  • Accessing the accuracy neatness and thoroughness of the work assigned.
  • High-concentration demanding and fast-paced.

Safety and PPE

  • Reading and interpreting hazardous warning signs.
  • Reporting issues with equipment or unsafe conditions.

Travel

  • Some travel may be required (up to 10%).

  • Occasionally requires overtime.

  • Occasionally requires schedule flexibility.
