Job Description

Overview

We are seeking a Project Coordinatorto support the Program Management Office (PMO) within the National Heart Lung and Blood Institute (NHLBI) an operating division of the U.S. Department of Health and HumanServices (DHHS). The PMO focuses on supporting strategic programs defined as complex high-priority initiatives that span the NHLBI and are funded through Other Transaction Authority (OTA) or multiple funding mechanisms. Additionally the PMO provides project management and coordination for other high-priority projects and NHLBI-wide working groups.

This is a contingent position that is subject to a federal contract award.

Responsibilities

  • Support agenda development and capture and distribute informal and formal meeting minutes with action items and decisions. Discussion in meetings often include complex scientific concepts and terminology.
  • Record and track action items through completion.
  • Identify track and record risks as well as mitigation measures and ensure proper elevation to key stakeholders and decision makers.
  • Facilitate and coordinate program meetings.
  • Assist with the development and management of program charters plans and timelines.
  • Assist with the development of program materials and content for program briefings and meetings.
  • Develop dissemination strategies and action plans for key work products related to the program or project.
  • Facilitate program management and knowledge management by managing a shared document repository.
  • Assist with government financial tracking and reporting.
  • Provide support to integrate cross-functional work across NHLBI and NIH Work Groups.
  • Perform other duties as assigned.

Qualifications

  • This role must have a bachelors degree in an applicable field (e.g. science public health business or project management).
  • Minimum of three (3) years of demonstrable experience in portfolio program and project management support. If the degree is not in a science-related field at least 3 years of that experience must be in a biomedical pharmaceutical biotech academic medical center or health-related organization.
  • Operational program/project management experience for a federal agency strongly preferred.
  • Experience with OTA preferred.
  • Experienced staff members of the organization with demonstrated ability in providing project management and coordination support.
  • An adept understanding of project management principles and techniques.
  • Possess the organizational and communication skills and attention to detail required to effectively coordinate projects across a wide range of stakeholders.
  • Experience documenting and maintaining project management processes tools and templates to strengthen an organizations project management approach.
