Job Description

JOB SUMMARY:

The Expediting Coordinator is responsible for expediting any/all purchase orders and expediting delivery of materials to meet the needs of Tech Services. This role will require close collaboration with external vendors and internally with Inventory Specialists Planners Managers and Senior leadership. The position will be responsible for expediting the entire order process ensuring that the correct items are ordered. The Coordinator will work with the internal team to expedite the order approvals and monitoring incoming orders ensuring that materials are supplied in the right quantity and reporting delivery details to the stakeholders to ensure that they get the materials needed.

MAJOR RESPONSIBILITIES:

  • Maintaining purchasing guidelines for Tech Services establishing relationships with supply vendors interacting with all levels of the organization and ensuring that all purchasing procedures are being followed. Responsible for expediting orders delivery process and immediate needs of the Tech Services team. Develop tracking system of expedited order information including order details shipping information estimated arrival and other related information. Creates a weekly report for department management.
  • Monitors and manages all orders and deliveries effectively. Works with vendors and other internal parties to resolve any issues regarding the order approval quote order submission and delivery.
  • Assists in maintaining the data integrity of all Maximo records by monitoring and controlling inventory integrity. Updates inventory records based on review of each record and ensure changes are adequately notated and maintaining inventory records in accordance with departmental operating procedures.
  • Collaborates with stakeholders with order details estimated time of arrival and any other related information.
  • Understands and actively participates in Environmental Health & Safety responsibilities by following established UO policy procedures training and team member involvement activities.
  • Performs other duties as assigned.

EDUCATION:

Associates degree in general education or technology preferred.

EXPERIENCE:

  • 2 years experience in Windows environment with Excel Spreadsheet knowledge required.
  • Excellent communication and organizational skills are required.
  • Experience with inventory/sourcing functions preferred.
