Duties & Responsibilities

(NOTE: * denotes Essential Functions)

Graduation

  1. *Under general supervision assists with coordinating the Graduation Process in the Records Office. Assists with the review and determination of students eligibility for degree or certificate conferral; enters all graduation-related information and data into BANNER; assists with all graduation-related student communications from the Records Office as needed.
  2. *Assists with the review of student records to determine eligibility for the Honors program and makes necessary recordations in BANNER.
  3. *Extract and organize data reports for all Reverse Transfer and Auto Conferral degree/certificate projects. Analyze review and verify graduation requirements using STAR. Enter and finalize degree statuses in BANNER. Troubleshoot as needed.
  4. *Coordinates the processing and procurement of diploma orders and reorders diploma covers CeDiplomas etc. at the conclusion of each academic term in accordance with UH policies. Serves as the primary point of contact with the diploma vendor coordinating efforts to track monitor troubleshoot and resolve discrepancies.
  5. *Coordinates the graduation information posted on the offices webpages. Collaborates with various Student Services offices in coordinating the grad application auto-conferral and degree audit processes; troubleshoots credit transfer issues; and makes final degree determinations. Assists in the execution of the actual awarding or denial of graduation and maintains all related records.
  6. *Responsible for coordinating all required degree reporting to the National Student Clearinghouse (NSC) in accordance with all federal state and UH regulations and for troubleshooting and resolving any problems in the reporting process.

Transfer Credits and Transcript Evaluation

  1. *Assists with the evaluation of credits/transfer credits from other institutions. Assists with verifying transcript authenticity and accreditation status. Assess course transferability and determine course and credit equivalencies based on institutional and system articulation policies. Request additional information from the student or originating institution if necessary.
  2. *Assists with advising faculty students and staff of institutional policies and practices regarding transfer credits including credit for Military Service and Training and other Non-Collegiate Sponsored Education (prior learning assessment). Advise students of documentation required for evaluation (e.g. Certificate of Completion syllabus etc.) and procedures to be followed.
  3. *Assist in the process of awarding credits based on prior learning assessment methodologies (e.g. AP and other examination programs credit-by-exam portfolios etc.). Assists with determining authenticity of documentation; evaluates and determines course and credit equivalencies; and recommends prerequisite waivers when applicable prerequisite waiver could be pursued. Research evaluation resources and recommendations made by nationally recognized organizations; request additional information from students as needed; refer cases to appropriate faculty as needed.
  4. *Supervise and train student assistants.
  5. *Assist in the compilation of data for reports.
  6. Participate in College UHCC and UH system-level discussions and initiatives.
  7. Other duties as assigned.

Minimum Qualifications
  1. Possession of a baccalaureate degree in education business counseling social work human development sociology psychology or public administration and 0 year(s) of progressively responsible professional experience with responsibilities for providing student services in an educational setting. or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  2. Functional knowledge of principles practices and techniques in the area of college credits degree requirements student records or student services demonstrated by knowledge understanding and ability to apply concepts terminology.
  3. Functional knowledge and understanding of principles theories federal and state laws rules regulations and theories and systems associated with college credits degree requirements student records or student services.
  4. Demonstrated ability to recognize problems identify possible causes and resolve the full range problems that may commonly occur in the area of student records or student services.
  5. Demonstrated ability to understand oral and written documentation write reports and procedures and communicate effectively in a variety of situations.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team leaders and members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing and spreadsheet software.
  8. Supervisory experience.

Desirable Qualifications
  1. Masters degree in education business counseling social work human development sociology or psychology or public administration.
  2. Experience with transfer credits transfer credit evaluation and/or degree auditing.
  3. Experience working with databases and/or database systems.
  4. Experience in data collection analysis organization and distribution of information.
  5. Working knowledge of FERPA and other admission and records-related regulations.
  6. Knowledge of policies and regulations of a University system as applied to student affairs.
  7. Experience working with Banner UH STAR and/or transfer credit information systems (e.g. College Source Transfer Evaluation System).

Expense of the evaluation shall be borne by the applicant.)
