About the Role:
The Project Coordinator provides essential support to project teams with a focus on owner billing subcontractor payment processing compliance reporting and accurate project documentation. This role ensures the financial integrity of projects through detailed analysis timely reporting and strong coordination with internal and external stakeholders.


Key Responsibilities:

  • Support the preparation and timely submission of monthly owner invoices and pay applications; monitor receivables follow up on outstanding payments and accurately record receipts.
  • Manage the tracking and processing of subcontractor pay applications change orders and lien waivers in accordance with contractual obligations.
  • Collaborate with project managers to monitor project budgets track expenditures and update cost forecasts.
  • Maintain comprehensive financial records ensuring proper coding and accurate data entry in the accounting system (Vista).
  • Reconcile project-related general ledger accounts and ensure alignment between project records and accounting system balances.
  • Perform detailed project cost reviews and contribute to financial reporting and variance analysis efforts.
  • Assist in month-end and year-end closing processes by preparing journal entries accruals and reconciliations related to project financials.
  • Collect and review certified payroll reports from subcontractors verify compliance and submit documentation to the owner as required.
  • Coordinate the assembly and organization of project closeout documentation; facilitate internal closeout and post-mortem meetings.
  • Support internal and external audit processes by compiling documentation responding to audit inquiries and ensuring compliance with financial controls and procedures.
  • Ensure accurate organization and retention of all project-related financial and compliance documentation.
  • Provide cross-functional support as needed.
  • Perform additional responsibilities and special projects as assigned.




Qualifications/Experience:

  • Three years of accounting or finance-related administrative experience required; construction or project-based accounting experience strongly preferred
  • Bachelors degree in Accounting Business Administration or related field preferred
  • Experience working with construction contracts and pay applications preferred
  • Experience with Vista by Viewpoint or similar construction ERP software
  • Proficient in Microsoft Office applications especially Excel
  • Strong analytical skills with attention to detail and accuracy
  • Excellent communication and interpersonal skills
  • Dependable organized and able to prioritize tasks in a deadline-driven environment
  • Self-starter with a willingness to ask questions and learn
  • Conducts self with professionalism and integrity

- Work is primarily performed in an office setting
- May occasionally lift/move up to 20 pounds
- While performing this role the employee is regularly required to sit talk hear use hands and fingers and see clearly at various distances
