POSITION TITLE: Human Resources AssistantPOSITION SUMMARY
The Human Resources Assistant will provide office support to the Human Resources Department and assist with HR projects and events.
ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES
1. Receive and direct visitors while assessing the relative importance of each answer telephones screen callers provide information as requested. Assist in preparing all incoming and outgoing correspondence. Provide department coverage.
2. Conduct I-9 verifications employment verifications sort & distribute mail and other administrative tasks as needed.
3. Maintain records for new hires and separating employees in the State Universities Retirement System.
4. Perform project work for any of the HR areas (i.e.: HRIS labor/employee relations learning/wellness talent acquisition total rewards). Collaborate with project owner for training to understand timeline and to deliver the established outcomes.
5. Prepare training announcements enrollment forms evaluation materials and other documents.
6. Assist with meeting/training support including room reservations logistics and other supplies.
7. Work collaboratively as a team member with other members of management and the HR staff.
8. Serve as a back-up to the Sr. Administrative Assistant.
9. Develop and maintain organizational communications for the employee newsletter employee portal social media and other resources to ensure employees have knowledge of training and development events resources and other HR initiatives.
10. Maintain a high level of confidentiality of information originating from or directed to the department related to personnel employee/labor relations and organizational issues.
11. Assist with special events and serve on committees as needed.
12. Participate in achieving departmental and college goals and objectives.
13. Perform other job-related duties as assigned.
MINIMUM QUALIFICATIONS
1. Associates degree; or in lieu of Associates degree must have equivalent college credit hours.
2. Previous experience in an administrative or office support role preferably in an HR setting.
3. Excellent customer service skills with the ability to work effectively with minimal supervision.
4. Excellent verbal and written communication skills; strong presentation skills.
5. Proficiency in the utilization of Microsoft Office suite and social media platforms.
6. Ability to handle sensitive and confidential information with discretion.
7. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community displaying cultural competence as well as emotional intelligence.
8. Demonstrated commitment to the colleges core values of respect and inclusion sustainability integrity collaboration humor and well-being innovation and quality.
PREFERRED QUALIFICATIONS
1. Workday experience.
2. Work experience in higher education.
3. Experience with a Learning Management System (LMS) and HRIS system.
4. Demonstrated multicultural competence.
5. English and Spanish verbal and written communication proficiency.
PHYSICAL DEMANDS
1. Normal office physical demands.
2. Primarily indoor office environment with occasional travel to other campus locations and community events.
WORKING CONDITIONS
1. Duties are performed indoors in the usual on-site office environment.
2. HR work events and training sessions are occasionally scheduled outside of regular daily working hours to meet the needs of employees who work on different shifts.
3. Position is on-site and not eligible for remote work.
