Job Description

This is a remote position.

Schedule:
  • Mondays to Fridays 7:00 am to 11:00 am London UK
  • 20 hours per week

About the Role:

The Company is seeking a highly reliable and detail-oriented General Property Assistant to support the daily operations of the property management team. This is a part-time remote role that focuses on administrative and routine property-related tasks including rent chasing tenant application review and management. You ll be supporting our UK-based team by ensuring all tenant communication documentation and records are well-maintained and up to date.

This is a position working under the guidance of a Director. Property management experience is essential.


Working Conditions:
  • Reports directly to the Director
  • This role supports approximately 150 rental properties and includes regular recurring tasks.


Key Responsibilities:

1. Property Admin Support:
- Monitoring repairs
- Communicating with Tenants
- Managing Google Drive
- Review and managing safety compliance
- Management of tenancy application tenancy and documentation

2. Rent Arrears & Letters:
- Review rent arrears data to identify where action is required
- Collate tenant letters and send through Stannp.
- Assist in executing communication campaigns to tenants with outstanding rent

3. Documentation & Filing:
- Review and file daily post
- Keep Google Drive folders consistently updated and organized.
- Assist with the preparation of rent schedules every two months for Mamta and Mamta Ltd (specific dates provided).

4. Other Admin Tasks:
- Assist in preparing UC47 forms and other ad hoc administrative requests.
- Provide basic support in adhoc tasks as requested.

Requirements

  • Minimum 2 years of experience as a Virtual Assistant
  • Minimum 2 years of experience in property lettings preferably for UK-based clients.
  • Highly organized detail-oriented and able to follow clear instructions without constant supervision.
  • Proficient with Google Workspace (Docs Sheets Drive Gmail).
  • Comfortable using admin tools and
  • Confident in using the Tenant Management system Arthuronline (training will be provided).
  • Familiarity with mail platforms like Stannp is a plus.
  • Strong written communication skills (for tenant notices and internal coordination).
  • Self-motivated and proactive in updating records and completing daily tasks.
