Job Description

Position Description:

Reporting to the Director of Enrollment Events and Operations the Visitor Services Coordinator is responsible for the daily management of the welcome center and daily visit experience. The Visitor Services Coordinator is the first face of Valparaiso University as they oversee the front lobby of the building and greet all prospective and admitted students their families and any other constituents entering the welcome center and answer and direct phone calls to the appropriate person(s)/department. This role will also coordinate schedules for all visitors and make sure those schedules are executed.

Compensation:

  • $15 - $20 per hour

Major Responsibilities:

  • Oversee the front lobby operations of the welcome center greeting visitors and guests directing them to their appropriate locations and providing them with necessary information for their appointment
  • Schedule campus visit academic and campus services appointments with other departments for daily campus tours as requested
  • Answer and direct phone calls from both main university line and admission office lines to appropriate person(s)/department
  • Assist with the supervision of daily tasks and task completion of student desk receptionists and other student staff assignments as directed
  • Serve as welcome center building manager working with other departments such as Facilities Management and IT to ensure proper functionality of all equipment office spaces etc.

Required Knowledge and Skills:

  • Occasionally moves positions and transports office materials yard signs and deliveries weighing up to 10 lbs.
  • This is largely a sedentary role. This position operates in an office environment and constantly uses a computer and routinely uses standard office equipment including phones printers etc.
  • The person in this position constantly communicates with internal and external constituents. Must be able to exchange accurate information in these situations.

Other Qualifications:

  • Technical associate or bachelors degree required.
  • Previous higher education experience preferably in the area of undergraduate admission graduate admission and/or financial aid.
  • Proven customer service orientation combined with the ability to work well with others across departments and sites. Ability to work with people of varying interpersonal and technical skills.
  • Understanding of technology and database systems. Proficient in email and Google Suite.
  • Experience with data entry reporting and maintaining records/information.
  • Proficiency with Technolutions Slate and Colleague preferred.
  • Excellent problem-solving skills.
