Job Description

University Academic Programs supports and serves all students amplifying the student experience by fostering cross-disciplinary academic connections providing students with the opportunities to deepen hands-on learning to engage in community-based service learning to cultivate their passions outside of their major courses and to provide opportunities to make significant connections with the Denver community. UAP also serves faculty members across the institution through multiple trainings and workshops held to develop specific skills or mindsets that are applicable for working with students both inside and outside the classroom.

Position Summary

This position leads programmatic operations and logistics for the following programs: Faculty led Interterm and travel classes KMC faculty led classes and workshops First-Year Seminar and Advanced Seminar. This works closely with faculty directors across campus (FSEM Honors 4D) and multiple campus offices (Internationalization Shared Services Student Success Financial Aid Risk).

Essential Functions

FSEM/ASEM Programming

  • Lead the day-to-day operations of the First-Year Seminar program consisting of approximately 80 faculty members and approximately 1200 first-year students.
  • Work in tandem with the FSEM & ASEM faculty director to ensure that stakeholders (faculty students parents administrators) receive timely and informative updates regarding the program.
  • Work with associate deans and faculty members to solicit and manage requests for new FSEM course proposals and returning faculty requests.
  • Manage course enrollment and track sections as first-time first-year students register (and drop) and faculty members leave and enter the program.
  • Coordinate summer outreach and communication to student parents and faculty as needed.
  • With the FSEM & ASEM faculty director develop and execute faculty professional opportunities.
  • Provide FSEM & ASEM faculty with regular updates and reminders about deadlines and opportunities.
  • Maintain and update the FSEM/ASEM faculty resource page.
  • Organize Destinations trips during Discoveries week. Tracking that FSEM faculty follow current ERM transportation polices and stay on budget for planned outings.

Interterm academic initiatives

  • Work with faculty to develop new opportunities for short term study abroad (1-2 new classes per year.
  • Work with faculty for a robust offering of classes both online and travel to support revenue growth for Interterm.
  • Support faculty in the initial proposal process to explain workflow academic expectations student needs and risk management requirements.
  • Review faculty class proposals and organize approvals from relevant department chair and associate dean.
  • Market classes for student recruitment throughout the quarter keeping faculty leaders informed of student interest (and cancelling low enrollment classes when necessary).
  • Manage and distribute financial aid awards for student applicants.
  • Real time program operational assistance for travel classes in emergency situations with airline hotel illness and faculty travel delays.
  • Work with Risk/International Health and Safety to ensure compliance and appropriate trainings are considered for students and faculty on trips.

Assessment

  • Develop and support appropriate programmatic evaluation and assessment of each program (Interterm FSEM & ASEM) in the portfolio in cooperation with the FSEM & ASEM faculty director

Budget

  • Participate in budget planning for all UAP programs.
  • Track budget transactions and advise the SVP of Academic Affairs and faculty directors on budgetary matters.
  • Advise the SVPAA on developing tuition expectation and expense modeling for interterm
  • Oversee budget and personnel transactions for all UAP courses across the academic year.
  • Contract oversight and work with procurement
  • Work with the BSA team to develop budget strategy and manage and develop appropriate number of classes to be offered during Fall interterm Spring Break and summer.
  • Communicate and submit payroll for all UAP faculty across programs and approve with the BSA team.
  • Work with the BSA team to accurately provide forecasting data

Marketing Communications and Web Management

  • Manage and oversee timely website content for each academic program ensuring accuracy and communication of information to all DU constituencies (faculty staff students parents and the broader community).
  • Direct internal and external UAP communication strategies including website content social media newsletters and campus-wide communication.

Other duties

  • Ensure that all members of the office provide timely correct and respectful communication with constituents.
  • Lead long-term planning and oversight of the relevant programs and the office.
  • Promote a culture of yes by helping to problem-solve or identifying the right problem-solvers.
  • Meet regularly with project stakeholders (faculty) to discuss progress offer support and maintain open lines of communication.
  • Attend meetings with the SVPAA Affairs and the faculty directors as needed.
  • Develop and refine programmatic policies and procedures in conjunction with the revision of operations handbooks annually.
  • Prepare ad hoc reports upon request.

Other Duties

  • This position will support other University- or Unit-wide projects/initiatives as needed including serving on university committees and searches.

Required Qualifications

  • Bachelors degree in relevant field
  • 5-7 years of experience in academic program coordination
  • Advanced skills in Microsoft Excel Access and Word Canvas and Photoshop
  • Data management skills.
  • Experience with survey and assessment tools.
  • Strong ability to lead a professional team.

Preferred Qualifications

  • Masters degree
  • 7-10 years of experience in academic program coordination.
  • Experience working with undergraduate students in advising or counseling at a college.
  • Experience teaching in online or in-person settings.
  • Experience working in database applications and/or SCT Banner system and Salesforce.

Working Environment

  • Standard office environment.
  • Unexpected interruptions often occur and stress level is moderate to high.
  • Noise level is quiet to moderate.

Physical Activities

  • Ability to sit in front of a computer for an extended period.
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule

Monday - Friday 8:00 a.m. - 4:30 p.m.

Salary Grade Number

The salary grade for the position is 10.

Salary Rate

The salary rate for this position is $68000.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate departmental budget availability internal salary equity considerations and available market information but not based on a candidates sex or any other protected status.
