A respected leader in the building materials industry is seeking a dependable and detail-oriented Fleet Administrative Coordinator to support its transportation and maintenance operations. This administrative role serves as the central point of contact for fleet-related coordination handling maintenance scheduling billing processes and transportation logistics. The ideal candidate will bring strong organizational skills a customer-focused mindset and experience in supporting fast-paced operational environments.
RESPONSIBILITIES AND DUTIES:
- Serve as the primary administrative contact for the maintenance and transportation teams.
- Perform data entry and manage maintenance tracking using RTA or other maintenance software modules.
- Generate review and process invoices for transportation and maintenance services.
- Ensure billing accuracy by verifying service details rates and quantities.
- Investigate and resolve billing discrepancies in coordination with internal and external parties.
- Maintain accurate records of billing transactions contracts and vendor correspondence.
- Organize and archive documentation in accordance with company policies and regulatory requirements.
- Prepare and maintain records such as work orders maintenance logs and inventory reports.
- Assist in procurement of parts equipment and maintenance supplies.
- Promote a strong safety culture and support operational excellence through administrative oversight.
- Perform additional administrative tasks as assigned.
REQUIREMENTS AND QUALIFICATIONS:
- High school diploma or equivalent required; associates degree preferred.
- Minimum of 2 years in an administrative or billing support role.
- Strong customer service skills with both internal and external customers.
- Proficiency in Microsoft Office and experience with billing/accounting systems.
- Proficient in Microsoft Excel and able to learn new systems such as Apex Command and SAP.
- Strong attention to detail and accuracy in data entry and financial documentation.
- Excellent communication and interpersonal skills.
- Ability to work independently multitask and prioritize in a fast-paced environment.
- Experience with SAP RTA or other transportation/maintenance management systems preferred.
- Familiarity with fleet operations vehicle maintenance or construction equipment.
- Understanding of transportation regulations and industry compliance practices.
