Job Description

Position Summary:

The Student Success Coordinator supports student retention and timely degree attainment for assigned students. Student Success Coordinators play a crucial role in shaping the educational journey of traditional undergraduate students and are responsible for advising students and serving as the primary contact for students in all aspects of program completion. This position reports to the Director of Undergraduate Advising and Retention under the Dean Student Success and Academic Services. Student Success Coordinators are embedded in their respective schools and have an informal reporting structure to the Chair in the area(s) they serve.

Essential Functions:

Student Advising and Support

  • Provides academic and career advisement and registration assistance for traditional undergraduate students including students understanding of degree requirements and options within their chosen major. Special attention is given to advising students in a manner that enables them to complete their degree in no more than four years.
  • Conducts academic advising for semester schedule planning and graduation plans.
  • Participates in Academic Registration events for new and readmit students.
  • Advises students on academic policies and procedures (e.g major/minor declarations leave of absence withdrawal readmit processes etc.).
  • Adheres to standardized year-round cycle of communication with student caseload and promotes deadlines noted therein.
  • Serves as the primary point of contact and liaison between the students and campus resources.
  • Assists students in navigating technological systems on campus.
  • Monitors the student registration process for their department caseloads including but not limited to course enrollment addressing student registration issues (e.g. requisites the permission of the instructor over 18 units follow-up with part-time registered students etc.).
  • Maintain appropriate administrative records (generally housed in campus systems not paper) including individual student 4-year plans and registration checklists. Maintains an ongoing understanding of student FERPA rights.
  • Monitors students in application for graduation process in conjunction with the Graduation Analyst in the Registrars Office
  • Maintains an ongoing understanding of university software related to student success and advising (e.g. Ellucian Colleague self-service etc.).
  • Maintains an active presence on campus and is involved in student activities when appropriate.

Student Retention Recruitment and Assessment

  • Assess students academic readiness advises the Chair regarding student needs for remediation and intervention and recommends appropriate academic success strategies.
  • Proactively engages students and provides intervention or referrals for struggling students identified by the Academic Progress Reports provisional admittance and academic probation lists.
  • Monitor regularly distributed enrollment retention and other data reports from Director of Advising and/or Dean of Student Success.
  • Become proficient in the use of Degree Tracker and Vanguard tools to forecast monitor and ensure student persistence with the goal of increasing overall retention and completion rates.
  • Represents Student Success and Academic Services division at student recruiting advising and orientation events including presenting to prospective students.
  • Participates in related meetings with the relevant Schools/Departments and provides input on the student experience/feedback to department chairs as they consider curricular changes and create semester course schedules.

Collaborate Across and Beyond Campus

  • Work collaboratively with campus offices including Deans/Chairs of respective programs Academic Resource Center Disability Services Office of the Registrar and Office of Student Engagement to develop adequate student support strategic programming and ongoing success and retention of traditional undergraduate students.
  • Facilitate communication with and advocate for assigned students with Financial Aid the Office of the Registrar and Accounting Operations to ensure timely progress to degree.
  • Collaborate with Career Services on placement of students in research and internship programs providing introductory career advisement based on academic major/minor.
  • Liaises with the Office of the Registrar for any questions regarding substitutions waivers transfer unit equivalencies or degree audits.

Minimum Qualifications:

  • Bachelors degree required from an accredited institution.
  • Alignment with and enthusiastic embrace of the mission principles and philosophies of Vanguard University and a lifestyle in consonance with its values. Ability to sign and align with the statement of faith of Vanguard University.
  • Exceptional organizational skills and ability to manage tasks with a high level of accuracy.
  • Strong interpersonal written and oral communication skills and understanding of confidentiality.
  • Computer literacy and proficiency on the Microsoft Office Suite and various analysis programs.
  • Demonstrated commitment as a team player to support and collaborate with colleagues as well as the initiative and ability to work independently.

  • Coursework in student success/higher education.
  • Working knowledge of student development community engagement principles and internships and career development.
  • Experience with Ellucian programs such as Colleague and Degree Tracker.

Salary:

This is a full-time non-exempt position. $25.00 (Hourly)

Placement within the salary range is commensurate upon education and experience. Posted salary range reflects anticipated hiring scale for the position. Placement at the upper range is reserved for those that demonstrate the highest level of education and experience necessary for this position. All benefits of current Vanguard Employees would remain the same.
