About the Role: The Program Support Specialist for CASAs Family Therapy Trauma and Psychological Assessment and Consultation (PAC) programs plays a key role in supporting clinical operations. They will ensure a welcoming and organized environment and provide timely and sensitive administrative support to patients families and team members.
The Program Support Specialist will:
- Serve as the primary administrative and clinical support for staff members within their assigned programs including staff scheduling and program intake.
- Maintain a calm professional and sensitive presence for children youth and families.
- Schedule meetings appointments case conferences and parent groups (including Zoom Webex and room scheduling) and complete confirmation calls.
- Coordinate urgent transitions from in-person to virtual or telephone appointments as required.
- Submit monthly invoices and travel expenses when requested by staff.
- Act as a liaison with external partners including hospitals clinics and government agencies to support patient care continuity.
- Assist with electronic medical record (EMR) tasks including platform setup troubleshooting requesting historical charts and maintaining and organizing records and intake documentation.
- Provide coverage within the Clinical Administration team as-needed.
- Support safety and crisis protocols by escalating and redirecting urgent calls as appropriate.
- Have a basic understanding of external crisis supports.
- Understand the referral process.
- Photocopy and fax documents as required.
- Liaise with couriers and manager interoffice mail/external mail.
- Take minutes for team meetings case conferences and leadership meetings.
Qualifications- A medical office assistant and/or business administration certificate/diploma is preferred.
- Proficiency in Microsoft Office Suite.
- High level of accuracy with data entry.
- Two years of related administrative experience in an office setting.
- Ability to be adaptable and maintain confidentiality and an awareness of trauma-informed culturally-safe care principles.
