SMFR is accepting internal and external applications for a Permit Coordinator.

GENERAL POSITION SUMMARY
The Permit Coordinator provides technical and administrative support to the Fire Marshals Office (FMO) and serves as the primary point of contact for external customers. This role supports the process of issuing permits in addition to the enforcement of fire related codes and regulations requiring excellent customer service and attention to detail.

Customer Service
Serves as a first point of contact for internal and external phone calls and email inquiries for the Fire Marshals Office; greets and directs in person customers at the main entrance;
provides procedural guidance responds to questions and offers information related to FMO services; resolves or escalates issues to appropriate personnel.
Fire Marshals Office
Provides a variety of administrative support functions to the Fire Marshals office including filing and archiving records sorting and distributing mail and ordering office supplies.
Provides technical support to all functions of the Fire Marshals Office including construction-related permitting and inspection activities code compliance activities and investigations.
Supports the submission review permit issuance fee collection and inspection processes for new development and construction projects; utilizes the Districts electronic database to process and track permits and occupancy information; reviews construction documents to populate database fields determine the completeness of submittals and verify compliance with limited fire code provisions; gathers information from other governmental agencies to update the Districts database.
Audits database records to identify uncollected permits and fees ensures accuracy and completeness of database fields and generates reports.
Assists in developing and maintaining customer forms and documents; receives reviews processes assigns and tracks a variety of forms and records.
Performs other related duties as assigned.
MINIMUM QUALIFICATIONS
EDUCATION EXPERIENCE LICENSES & CERTIFICATIONS (An equivalent combination of education training and experience that demonstrates the ability to perform the duties of the position is qualifying.)
High School diploma or GED is required.
Two (2) years of experience interpreting explaining and applying policies procedures statutes rules or regulations to the public is required.
ICC Permit Technician Certification or the ability to obtain within two (2) years.
Must obtain CPR certification within one (1) year of hire.
NECESSARY KNOWLEDGE SKILLS AND ABILITIES
Ability to demonstrate excellent internal and external customer service through follow up and research.
Proficient in Microsoft Excel Word and Outlook.
Knowledge of plan reviews and permit process.
Basic knowledge of building construction principles International Fire Code and other regulations relating to construction and fire protection.
Knowledge of basic office policies and procedures.
Knowledge of modern office equipment including computers and a variety of software.
Skill in entering data accurately with attention to detail.
Skill in organizing and maintaining files and establishing workflows that result in efficient operations.
Ability to establish and maintain effective working relationships with coworkers customers and professional associates.
Ability to work as part of a team and share knowledge with others.
Ability to disseminate and file documentation correctly and in a timely manner.
Ability to interpret a variety of construction plans and documents fire code and regulations furnished in written oral diagram or schedule form.
Ability to read and follow the Districts operating guidelines regulations and policies.
Ability to interact well with a diverse population with outstanding interpersonal and communication skills.
Ability to work with confidential and sensitive information and exercise discretion and judgment on sharing such information.
Ability to prepare clear concise and accurate reports correspondence and other written materials.
Ability to communicate and interact effectively and professionally with customers who may be angry argumentative or disagreeable.
Ability to manage multiple projects simultaneously respond to changing priorities work with frequent interruptions and adhere to deadlines in stressful situations.

Works under the general direction of the Assistant Fire Marshal Plan Review.

EQUIPMENT AND SYSTEMS
Requires frequent use of equipment including personal computer (including various software packages database and spreadsheet programs) calculators telephones facsimile machines copy machines printers and other general office equipment.
PHYSICAL DEMANDS
While performing the duties of this job the employee is regularly required to perform climbing balancing stooping kneeling crouching crawling reaching sitting standing walking pushing pulling lifting grasping feeling talking hearing seeing and repetitive motions and exerting up to 20 pounds of force frequently and/or up to 10 pounds of force constantly to move objects.
Specific vision abilities required by this job include close and distance vision acuity and the ability to adjust his or her focus allowing a broad field of vision.
WORK ENVIRONMENT AND GENERAL INFORMATION
While performing the duties of this job the employee primarily works in a climate-controlled office environment. The noise level in the work environment is usually moderate.
