Accounts Payable Specialist

Job Description Summary

Under the direct supervision of a General Manager or Financial Manager this is an entry level accounting position that plays a vital role in supporting the financial operations of a commercial real estate portfolio ensuring that all payables are processed accurately and in a timely manner. This position is responsible for reviewing coding and processing invoices for operating expenses capital projects utilities and property management-related costs in accordance with lease agreements and internal policies.

Job Description

ESSENTIAL FUNTIONS AND RESPONSIBILITIES:

  • Receive review and verify invoices and check requests for multiple commercial properties (office retail life sciences etc.)
  • Enter invoice data into accounting systems (Nexus)
  • Route invoices through approval workflows and monitor pending approvals
  • Code invoices to appropriate general ledger and property accounts ensuring consistency with budget and lease obligations (CAM utilities taxes etc.)
  • Reconcile vendor statements and resolve invoice discrepancies or payment issues
  • Maintain vendor files and manage W-9 and COI documentation
  • Collaborate with property managers vendors and accounting to ensure smooth operations
  • Complete or update spreadsheet information to track utility billing and usage.
  • Maintains integrity of database accounting systems by regularlyupdating files reports and spreadsheets. May include tenant client and vendor lists accountbalances time sheet data billings or similar information.
  • May support others withaccount reconciliationfunctions.
  • Proactively communicate and respond to tenant vendor client and staff requests for account information.
  • Performs other accounting clerical and administrative tasks which may include word processing emails preparingbank deposits fund transfer checks answering phones handling the mail etc.
  • A high school diploma orGED. College or university credits or degree in applicabledisciplinepreferred.
  • Strong understanding of general ledger coding accruals and property-level accounting. Working knowledge of accounts payables receivables budgets andexpenditure controlis desired. Experience with Yardi and Nexus or similar accounting system is a plus.
  • Ability to manage multiple priorities and meet deadlines
  • Familiarity with lease structures operating expenses and recoverable charges is a plus
  • High attention to detail and accuracy
  • Excellent organizational and communication skills
  • Minimum of 3 years ofbasic accountingorbookkeepingexperience preferably in a commercial real estate or property management setting.
  • Team player and strong aptitude for effectivecross-functionalcollaboration
  • Candidate must be computer literate including word processingmail merge scheduling spreadsheets and other data base applications.
  • Comfortable in a fast-paceddynamic environmentwith the ability to work effectively under pressure

WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers phones and photocopiers

PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee may need to travel from floor to floor climb stairs and may be required to travel outside between buildings in varying outdoor weather conditions. The employee may also be regularly required to remain in a stationary position (sit or stand) for 85% of the time; regularly use hands to operate office machinery.
